Join Our Team as a Payroll Administrator in Prince George

Kode Contracting Ltd. is seeking a detail-oriented and dependable Payroll Administrator to join our Accounting team in Prince George. Reporting to the Controller, this role is responsible for the full cycle of payroll, benefits, and union administration for our workforce. You’ll be the primary contact for employees and management on all pay and benefits matters—someone who takes pride in accuracy, thrives in a compliance-driven environment, and genuinely enjoys helping people.

Key Responsibilities

Payroll Administration

  • Process bi-weekly & semi-monthly payroll for all employees—union and non-union—in compliance with the Employment Standards Act, Income Tax Act, WCB regulations, and applicable payroll legislation.
  • Set up new hires and process terminations, direct deposits, garnishments, adjustments, paid time off, and benefit deductions; compile and enter timekeeping data into the ERP system; review and correct errors to ensure accuracy and compliance.
  • Reconcile and remit payroll transactions to government agencies, insurance providers, and other third parties; process special payrolls including bonuses and off-cycle runs.
  • Maintain leave accounting (vacation and sick time) and all payroll records; submit payroll expense accounting to internal financial systems and prepare federal and provincial year-end reporting.

Benefits Administration:

  • Administer group benefits programs including extended health, dental, vision, and life insurance; process enrolments, changes, and terminations accurately and on time.
  • Reconcile and submit monthly benefit invoices to accounting; process life and disability claims as required; collaborate with HR on benefit program design and workflow improvements.

Union Administration:

  • Administer payroll for unionized employees in accordance with applicable Collective Bargaining Agreements (CBAs), including correct application of union wage rates, premium pay, and overtime rules.
  • Reconcile and remit union dues, benefit contributions, and other union-related deductions; maintain accurate records to support audits, grievance processes, and reporting; stay current on CBA updates and related legislative changes.
  • Prepare semi-monthly, monthly, quarterly, and annual payroll and benefits reports (system-generated and Excel); research payroll and tax issues and maintain current knowledge of federal and provincial compliance requirements.
  • Provide confidential, responsive service to all employee payroll and benefits inquiries; assist the accounting team with AP and AR functions as needed; perform other duties as directed by the Controller.

What You Bring

  • 5+ years of payroll experience, ideally in a multi-employee, unionized environment.
  • Solid knowledge of Canadian payroll legislation (ESA, CRA, WCB) and union collective agreement administration.
  • Experience with group benefits administration is a strong asset.
  • Payroll Fundamentals certification through the Canadian Payroll Association (CPA) is an asset.
  • Post-secondary education in accounting, bookkeeping, or a related field preferred.
  • Proficiency in payroll/ERP software (e.g., SAP, QuickBooks) and advanced Microsoft Excel skills.
  • High degree of accuracy and discretion when handling confidential information; strong communication skills and a reliable, self-motivated work style.
