Are you a detail-oriented legal professional who enjoys keeping things organized and running smoothly? We're looking for a Temporary Legal Assistant to join our team and provide administrative and legal support across contracts, corporate records, compliance, and legal operations.

This is an excellent opportunity for someone with experience in a law firm or in-house legal department who enjoys a variety of work and thrives in a fast-paced environment. This is a temporary position with an anticipated duration of 6–12 months, depending on business needs.

Our BC Head Office is based in Burnaby near scenic Deer Lake. This is expected to be a hybrid-role with work requirements in office occasionally.

YOUR ROLE:

As our Temporary Legal Assistant, you'll support the day-to-day activities of the legal function by:

  • Preparing, editing, formatting, and organizing contracts, agreements, correspondence, and corporate records.
  • Coordinating contract execution processes, including obtaining signatures and maintaining document version control.
  • Tracking important contractual obligations such as renewal dates, notice periods, insurance requirements, and other key terms.
  • Maintaining contract summaries and supporting our contract lifecycle management processes.
  • Working with internal teams to gather information required for contract preparation and administration.
  • Assisting legal counsel with contract amendments, correspondence, and issue tracking.
  • Maintaining corporate records, minute books, and supporting corporate filings and registrations.
  • Preparing basic corporate documents such as resolutions, director and officer updates, and organizational charts.
  • Tracking deadlines related to corporate governance, filings, and reporting obligations.
  • Supporting the administration of litigation, claims, and dispute matters by organizing documents and monitoring deadlines.
  • Assisting with legal policies, procedures, compliance initiatives, and training programs.
  • Tracking insurance certificates and contractual insurance requirements.
  • Supporting the implementation and ongoing use of legal technology and legal management systems.
  • Delivering professional service to both internal and external stakeholders.
  • Producing accurate, high-quality work while managing multiple priorities.
  • Providing general administrative support and other duties as assigned.

WHAT YOU BRING:

  • Minimum 3 years of experience in a law firm or in-house legal department.
  • A Legal Administrative Assistant Certificate from an accredited post-secondary institution, or an equivalent combination of education and experience.
  • Strong computer skills, including proficiency with Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Exceptional organizational skills and the ability to manage competing priorities and deadlines.
  • Strong written and verbal communication skills.
  • Sound judgment, attention to detail, and the ability to handle confidential information with discretion.
  • A flexible and adaptable approach to changing priorities and business needs.
  • Experience supporting commercial contract administration, including document preparation, execution, and tracking.

NICE TO HAVE:

The following would be considered assets, but are not required:

  • Experience maintaining corporate records, minute books, and supporting corporate compliance filings.
  • Experience assisting with litigation, claims management, document production, or working with external legal counsel.
  • Familiarity with contract lifecycle management (CLM) systems, legal operations technology, or matter management tools.
