Full job description

Nanda & Associate Lawyers Professional Corporation is seeking an experienced, compassionate, and highly organized Personal Injury Case Manager & Practice Manager to help lead and grow our Personal Injury department.

This is a senior, client-facing role for someone who can do more than simply open files. The successful candidate will help retain clients, manage the client experience, keep files moving forward, support counsel, and build reliable day-to-day systems for a growing plaintiff personal injury practice.

Key responsibilities

  • Serve as a primary point of contact for personal injury clients from intake through resolution.
  • Promptly follow up with new leads and help convert qualified inquiries into retained clients.
  • Build strong client relationships through regular updates, compassionate communication, and proactive issue resolution.
  • Open, organize, and maintain personal injury files, including accident benefits and tort matters.
  • Obtain and organize medical records, insurance information, police reports, treatment records, employment records, and other supporting documentation.
  • Coordinate with insurers, adjusters, treatment providers, rehabilitation clinics, experts, and other third parties.
  • Track limitation periods, accident benefits deadlines, appointments, examinations, mediations, discoveries, and other key dates.
  • Ensure lawyers receive complete, organized files with clear next steps before major events.
  • Identify stalled files and proactively move them forward.
  • Maintain accurate notes, task lists, and reporting within LEAP and other firm systems.
  • Assist in developing and improving intake, retention, client-service, and file-management workflows.
  • Help train and support junior staff as the Personal Injury department grows.
  • Provide weekly reporting on active files, new retainers, client concerns, deadlines, and file progress.

Qualifications

  • Minimum 5 years of Ontario personal injury experience, preferably in a plaintiff-side practice.
  • Strong understanding of accident benefits and tort-file processes.
  • Experience managing personal injury files from intake through settlement or trial preparation.
  • Excellent client-service and communication skills, with the ability to handle sensitive and emotional situations professionally.
  • Strong organizational skills and ability to manage a high volume of active files and deadlines.
  • Comfortable taking ownership, solving problems, and working independently.
  • Experience with LEAP or similar legal practice-management software is an asset.
  • Paralegal licence is an asset but not required for the right candidate.
  • Ability to work effectively with lawyers, clerks, assistants, medical providers, insurers, and clients.
