Position Overview

We are seeking an experienced, highly organized, and detail-oriented Family Law Legal Assistant who is fluent in both English and Mandarin to join our growing legal team. The successful candidate will play a key role in supporting our lawyers in all aspects of family law matters, providing exceptional client service, and ensuring the efficient management of legal files.

This position is ideal for a motivated professional who thrives in a fast-paced legal environment, possesses strong administrative and organizational skills, and is committed to maintaining the highest standards of professionalism and confidentiality.

Key Responsibilities

  • Communicate professionally with clients, opposing counsel, court staff, and third-party service providers in both English and Mandarin.
  • Draft, review, and proofread legal documents and correspondence with precision and attention to detail
  • Assist with project management tasks related to ongoing family law cases, ensuring deadlines are met
  • Perform data entry and maintain accurate records of case information and client details
  • Organize and file legal documents systematically, ensuring compliance with court requirements
  • Provide administrative support including scheduling appointments, managing calendars, and handling phone inquiries with professional phone etiquette
  • Assist lawyers in the preparation of invoices and communicate with clients about the invoices and payments for the same.
  • Provide administrative support to lawyers and contribute to the efficient operation of the practice.

Qualifications

  • Fluency in Mandarin and English, both written and verbal, is required.
  • Minimum 2 years of experience in a family law legal assistant role is strongly preferred.
  • Proven experience in an administrative or clerical role within a legal environment; family law experience is a plus
  • Excellent organizational skills with the ability to manage multiple priorities effectively
  • Proficiency in data entry, filing systems, and maintaining organized case files
  • Experience preparing and managing court filings and legal documentation.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience using Clio practice management software is preferred.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and commitment to accuracy.
  • Excellent communication, client service, and interpersonal skills.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Completion of a Legal Assistant or Law Clerk diploma/certificate program is considered a strong asset.

Working Conditions

  • Full-time position.
  • Hybrid work arrangement.
  • Primary office location: Downtown Oakville, Ontario.
  • Occasional overtime may be required to meet court deadlines and client needs.

Compensation & Benefits
