Full job description

We are a boutique downtown Toronto family law firm with a busy, established (30+ years) practice, primarily serving a sophisticated clientele. We are currently seeking a qualified and experienced Legal Assistant to support the firm's lawyers and senior clerk, primarily by proactively and systematically managing client files, communications, and scheduling.

The ideal candidate must:

-Have at least two years' office administration experience in a family law setting,

-Be proactive, detail-oriented, and extremely well-organized,

-Be a clear and effective communicator who is highly proficient in written and spoken English,

-Possess a strong understanding of legal file management, family law proceedings, and the family law mediation process, and

-Demonstrate excellent interpersonal skills, along with a specific understanding of, and empathy for, the unique personal challenges and dynamics impacting family law clients.

The successful candidate's primary responsibility will be to manage the administrative side of client files from the beginning to the end of each file, including but not limited to:-

-Onboarding new clients;

-Scheduling/coordinating/calendarizing meetings, court appearances, and mediations, ensuring that preparation and filing deadlines are met, and ensuring confirmations are sent and received;

-Replying to emails in a timely, professional manner;-Identifying items for follow-up and following up as necessary, on schedule;

-Eliciting and collecting client disclosure through secure Dropbox links;

-Otherwise assisting with office management, as directed from time to time.

This is an in-person position in downtown Toronto, which presents a unique opportunity to be closely involved in interesting, high-quality client-facing work alongside a tightly-knit, professional, supportive team.
