At Pacific Smoke International, our mission is to help people quit smoking by providing safer alternatives to traditional cigarettes. As the leading distributor of electronic vaporizers and award-winning vaping products in Canada, we've made significant progress since our founding in 2013. However, we have much more to accomplish for our customers, and we're looking for a culturally aligned Distribution Supervisor to join in our Distribution team at our Markham headquarters. Overview:

The Distribution Supervisor is responsible for leading distribution operations with a primary focus on picking performance, service level execution, and team development.

This role ensures:
  • 100% on-time execution aligned with shipping cutoffs
    • 98% OTIF (On-Time In-Full)
    • 99.5% order accuracy

Acting as the second-in-command to the Distribution Manager, this position requires a highly hands-on leadership approach, with strong presence on the warehouse floor to drive execution, coach team members, and resolve operational issues in real time.

The role combines execution excellence, people leadership, and data-driven decision-making to support both day-to-day operations and long-term continuous improvement.

Key Responsibilities:

1. Picking Operations Leadership (Primary Focus)
  • Lead daily picking operations with strong floor presence
  • Ensure:
    • 100% on-time execution aligned with carrier cutoffs
      • 99.5% picking accuracy
  • Monitor real-time performance and resolve delays proactively
  • Enforce strict adherence to SOPs and RF scanning discipline
  • Optimize picking workflows, batching, and task execution
2. Service Level Ownership (OTIF & Accuracy)
Own and deliver: OTIF
    • 98%
    • Accuracy
    • 99.5%
  • Identify at-risk orders and intervene before failure
  • Conduct root cause analysis on:
    • Late shipments
    • Picking/fulfillment errors
  • Implement corrective and preventive actions
3. Cross-Functional Operations Leadership
  • Coordinate across:
    • Receiving
    • Inventory / Downstocking
    • Transfers
    • Packing & Shipping
  • Ensure alignment to prevent bottlenecks and delays
  • Step in to lead any function when required
4. Team Leadership & Development
  • Provide hands-on coaching on the warehouse floor
  • Develop team capability in:
    • Accuracy and productivity
    • WMS / RF system usage
    • Process discipline
  • Address performance gaps and build consistency
  • Support development of future leads and supervisors
5. Process Discipline & SOP Enforcement
  • Enforce strict adherence to operational SOPs
  • Maintain discipline in:
    • Task execution
    • Inventory handling
    • Order fulfillment processes
  • Drive a zero-tolerance culture for errors impacting service
6. Capacity Planning & Operational Control
  • Monitor daily volume and forecast workload
  • Adjust labor and resources to prevent bottlenecks
  • Manage:
    • Labor allocation (zones, tasks, priorities)
    • Overtime planning and scheduling
  • Ensure optimal staffing aligned with operational demand
7. Exception Management & Problem Solving
  • Manage operational issues including:
    • Inventory discrepancies
    • Partial orders
    • Transfer issues
    • Shipping delays / carrier constraints
  • Coordinate with:
    • Order Desk
    • Inventory Control
    • Human Resources (staffing, hiring, onboarding)
    • Customer Service
  • Take immediate action to minimize service impact
8. Continuous Improvement & Efficiency
  • Analyze operational performance:
    • Productivity
    • Accuracy
    • OTIF trends
  • Identify and implement improvements in:
    • Workflow efficiency
    • Picking optimization
    • Process standardization
  • Support automation readiness and system enhancements
9. Leadership Backup & Decision-Making
  • Act as backup to the Distribution Manager
  • Lead operations independently when required
  • Make real-time decisions on:
    • Labor allocation
    • Order prioritization
    • Escalations
  • Ensure operational continuity at all times
10. Data Analysis & Reporting
  • Utilize Excel to:
    • Track KPIs (OTIF, accuracy, productivity)
    • Identify trends and risks
  • Prepare reports for:
    • Daily/weekly performance reviews
    • Management updates
  • Maintain:
    • KPI dashboards
    • Exception logs
  • Use data insights to drive actions and improvements

Qualifications and Skills:

Must-Have
  • 3–5+ years in warehouse/distribution operations
  • Proven leadership experience (Supervisor or above)
  • Strong expertise in picking operations
  • Cross-functional warehouse exposure
  • WMS / RF system experience
  • Strong Excel and analytical skills
  • Strong problem-solving and decision-making ability
  • Hands-on leadership approach
Nice-to-Have
  • NetSuite / RF Smart experience
