About the The Company:

If you are an energetic professional Property Administrator with excellent communication, then we would like to hear from you! Reporting to the President & Vice President, the Property Manager will oversee and coordinate all aspects of a portfolio of rental residential buildings throughout Ontario and parts of US while focusing on efficiency and innovation to provide first class resident experience while driving income.

Position: Property Administrator

Compensation: $45,000 - $60,000 + Annual Performance Bonus

Expected Start date: As soon as possible

Key Accountabilities:

  • Act as the main point of contact for tenants on an ongoing basis to answer questions and resolve issues and concerns in an efficient and timely manner
  • Make & process calls to tenants for Rent, Utility & Chargeback collections, appointment confirmations and screening all tenant incoming inquiries
  • Prepare and provide all tenant correspondence including all tenant notices, updates, memos as and when required
  • Responsible for taking after hour calls on the Companies’ 24/7 emergency repair cell phone device and addressing issues immediately if deemed an emergency when the Property Facilitator is on vacation
  • Responsible for managing in house rental portfolios in ON & US
  • Attend viewings, conduct move in and move out inspections, and meet prospect tenants – collect information, and rent collection
  • Screen all repairs & maintenance calls, create work orders for trades, book appointments and complete payment compliance steps
  • Enforce contract and lease agreements while administering each property under approved budgets and operating policies
  • Liaison with Management and In House Legal Team when dealing with Landlord and Tenant Board matters
  • Complete & submit quality control & compliance for all property management repair/renovation projects

Qualifications:

  • Minimum 3+ Years’ experience in a Residential Property Manager or Administrator role
  • Have working knowledge of local real estate markets including rental/vacancy rates and operating cost comparisons throughout North America where rental portfolio exist
  • Must have strong knowledge of the Landlord-Tenant Act and Residential Tenants Act in Ontario
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) is required
  • Must be flexible to start early or stay late with little or no advance notice to accommodate site viewings, move in’s & move out’s
  • Excellent oral and written communication skills to effectively communicate across all levels within, as well as outside the organization
  • US Landlord Regulations Knowledge will be considered an asset
  • Advanced Excel skills including VLOOKUP, HLOOKUP, XLOOKUP, PivotTables, Macros, etc.
  • Must conduct oneself in a highly professional manner and operates with a high degree of discretion and confidentiality
  • Must be a great problem solver with all disputes and must find quick and cost-effective resolutions for the company
  • Must be flexible as you may be required to travel out of town/country with Owner if and when needed
  • Must be pet friendly
  • Must own a vehicle and have full access at all times
  • Mandatory attendance in Company Annual Events

Work Schedule:

  • Monday to Friday start 9:00 AM to 5:30pm
  • A flexible schedule for evening & weekend viewings is required and when needed only
