Position Overview

The Pantry Operations & Volunteer Supervisor is responsible for overseeing the daily operations of the Helping Hands food pantry while leading all aspects of volunteer engagement. This role ensures the pantry operates efficiently, safely, and with dignity, while fostering a positive, inclusive, and rewarding volunteer experience.

The position includes recruiting, training, scheduling, supervising, and recognizing volunteers who support pantry services, food distribution, and community initiatives. The Supervisor provides hands-on leadership to volunteers, supports customers accessing services, maintains inventory, and coordinates community donations.

As a key member of the Helping Hands team, this role contributes to Northreach Society’s mission by strengthening community connections and reducing food insecurity. By promoting respect, collaboration, and inclusion, the Supervisor helps build a committed volunteer base and ensures high-quality service delivery to all community members

Key Responsibilities Include:

Pantry Operations

  • Oversee the day-to-day operations of the food pantry.
  • Ensure pantry guests receive respectful, welcoming, and efficient service.
  • Coordinate food intake, sorting, storage, and distribution.
  • Monitor inventory levels and assist with food ordering and procurement, or as directed by Helping Hands Development Lead
  • Ensure compliance with Food Banks Canada/ Food Banks Alberta, food safety, sanitation, and organizational standards.
  • Maintain accurate records of inventory, donations, and pantry usage.
  • Ensure the pantry, storage areas, refrigerators, and freezers remain organized and clean.
  • Assist with food drives, special events, and community outreach activities.

Volunteer Coordination

  • Provide administrative support for volunteer coordination and management, including scheduling assistance, communications, and record‑keeping.
  • Maintain volunteer records, participation logs, and related documentation.
  • Support volunteer engagement, coordination, and recognition activities as directed by program leadership.

Primary Care Clinic Presence (Safety & Operational Support Only)

  • Recruit, onboard, train, and support pantry volunteers.
  • Develop volunteer schedules and coordinate shift coverage.
  • Provide supervision, guidance, and recognition to volunteers.
  • Foster a positive, inclusive, and engaging volunteer environment.
  • Track volunteer hours and maintain volunteer records.
  • Assist volunteers in understanding organizational policies, procedures, and safety requirements.
  • Address volunteer concerns and provide ongoing support and coaching

Client & Community Relations

  • Build positive relationships with pantry guests, community partners, and donors.
  • Respond to client concerns in a professional and compassionate manner.
  • Support initiatives that improve food access and community engagement.
  • Represent the organization positively within the community.

Education & Certification

  • Post-secondary education in Human Services, Nonprofit Management, Community Development, or a related field, or a combination of education and relevant experience
  • Minimum 1–2 years of experience in volunteer coordination, customer service, food security, social services, retail, warehousing, or a related field

Additional Requirements:

  • Criminal and Vulnerable Sector Check.
  • Valid driver’s license and access to reliable transportation

Additional Qualifications (Preferred):

  • Experience supervising staff and/or volunteers is considered an asset
  • Strong leadership, organizational, and interpersonal skills
  • Excellent communication and conflict-resolution abilities
  • Ability to work both independently and collaboratively in a team environment
  • Proficiency with Microsoft Office and volunteer management or scheduling software
  • Experience with data tracking, reporting, and maintaining accurate records
  • Food Safe certification (or willingness to obtain)
  • Valid driver’s license and access to reliable transportation are considered assets
  • Understanding of food security issues and a passion for community service preferred
  • Experience with event planning, outreach, or community engagement is an asset

Work Schedule and Conditions

This role involves a combination of administrative duties and hands-on work within pantry and warehouse environments. The position requires regular interaction with volunteers, staff, and community members in a fast-paced, service-oriented setting.

Occasional evening and weekend hours may be required to support operations and events

Work is performed in both office and physical environments with varying temperatures and activity levels

Regular use of computers, scheduling tools, and communication platforms is expected

Flexibility and adaptability are essential to meet evolving operational and community needs.

Physical Requirements

  • Ability to lift and carry up to 50 lbs
  • Ability to stand, bend, and move throughout the shift
  • Comfortable working in warehouse, cooler, and freezer environments

Pay: $24.00-$28.00 per hour
