Bring your organizational skills, bookkeeping experience and commitment to customer service to a role where your work makes a direct difference.

Our client is seeking an experienced Operations Administration & Customer Support Coordinator to manage the daily workflow connecting customer orders, invoicing, bookkeeping, payroll and fulfilment.

This position is ideal for someone who enjoys taking ownership, keeping accurate records and helping customers and colleagues get things done. You will work directly with ownership and the operations team, with accounting guidance from the company’s external accountant.

The position is 100% remote anywhere within Canada, with no travel or office attendance required.

What you will do

Customer service and order coordination

  • Process customer and dealer orders, verify information and follow up on missing details.
  • Prepare approved quotations and invoices, record payments and maintain accurate customer records.
  • Keep customers informed about orders, appointments, shipping and outstanding requests.
  • Follow up on open quotations, repeat-order opportunities and overdue accounts.
  • Direct technical questions to the appropriate technical specialist.
  • Coordinate shipping and fulfilment with local staff or external partners. No products are stored, packed or shipped from your home.

Bookkeeping and monthly reporting

  • Maintain day-to-day bookkeeping, including accounts payable, accounts receivable, expenses and credit notes.
  • Reconcile bank accounts, credit cards and payment processors.
  • Investigate discrepancies and organize supporting financial documentation.
  • Prepare monthly bookkeeping reconciliations and financial reports for management and accountant review.
  • Maintain inventory-related records and prepare sales tax reconciliation information.
  • Support year-end preparation and requests from the external accountant.

Payroll administration

  • Maintain accurate, confidential employee and payroll records.
  • Verify approved salaries, vacation, overtime and performance payments.
  • Prepare payroll for approval and reconcile payroll reports with accounting records.
  • Track remittance and reporting deadlines.
  • Coordinate payroll corrections and year-end reporting with the payroll provider or external accountant.

Administration and systems

  • Maintain Excel trackers, shared files, customer records and operating procedures.
  • Monitor outstanding tasks and communicate approaching deadlines.
  • Identify practical improvements that reduce duplicate work and improve accuracy.

What you bring

  • Demonstrated experience combining administration or customer support with hands-on bookkeeping and Canadian payroll.
  • Ability to complete routine bookkeeping, bank reconciliations and monthly reporting independently.
  • Practical knowledge of payroll deductions, vacation tracking, remittances and year-end reporting support.
  • Strong proficiency with QuickBooks, Sage or a comparable accounting platform.
  • Strong Microsoft Office skills, particularly Excel, Outlook, Word and Teams.
  • Experience with CRM, order management, inventory or e-commerce systems.
  • Excellent attention to detail, numerical accuracy and follow-through.
  • Clear, professional written and verbal English communication.
  • The ability to manage priorities independently and handle confidential information carefully.

Three to five years of relevant experience is preferred. Bookkeeping, accounting or payroll education or certification is an asset, as is experience with an equipment supplier, distributor, repair business or dealer network.

Mechanical knowledge and advanced technical diagnostic experience are not required.

Compensation and working arrangements

  • Starting base salary of $62,000 CAD annually.
  • Technology and connectivity allowance of $100 per month.
  • Performance bonus opportunity based on agreed objectives; terms will be outlined in the employment offer.
  • Company-provided computer equipment, monitors, headset, software and secure access.
  • Fully remote work, including training and meetings.
  • Coverage hours and time zone agreed before the employment offer.

You will need dependable internet connectivity and a private workspace suitable for customer calls and confidential financial work. Equipment, accessibility and accommodation needs can be discussed during hiring.
