Position Summary
The Business Operations Specialist, Customer Service & HR Support provides administrative, operational, and coordination support to the Senior Operations Manager and the broader organization. This position is responsible for assisting with customer service workflow improvement, supporting HR-related administrative processes, and contributing to the effective execution of day-to-day business operations. The role requires a high degree of professionalism, discretion, organization, and accountability.

Duties and Responsibilities

Business Operations Support

  • Provide administrative and operational support to the Senior Operations Manager.
  • Assist in the coordination and execution of daily business activities.
  • Support process improvement initiatives and help maintain efficient internal workflows.
  • Prepare reports, maintain records, and assist with business-related analysis as required.
  • Champion Health & Safety in the workplace.

Customer Service Support

  • Assist in the development, implementation, and maintenance of customer service procedures and workflows.
  • Maintain clean and consistent customer and sales rep data within the database
  • Support efforts to improve service consistency, responsiveness, and efficiency.
  • Track recurring service concerns and assist in identifying process improvement opportunities.
  • Assist with Order Management and Order entry during peak season.
  • Support onboarding and training activities for customer service team members.

Human Resources Support

  • Assist with recruitment coordination, including job postings, candidate screening, and interview scheduling.
  • Support onboarding and offboarding activities when required.
  • Support internal communications and general HR administrative functions.
  • Focus on employee training requirements to meet and exceed government standards.
  • Maintain confidentiality of employee and business information at all times.

Administrative Support

  • Prepare and update price lists as well as adding and maintaining prices on the Market Time platform.
  • Assist with bi-yearly catalogue review.
  • Maintain organized filing and recordkeeping systems.
  • Provide additional administrative support as required.

Qualifications

  • Post-secondary education in business administration, human resources, office administration, or a related field is preferred.
  • Previous experience in operations, administrative support, customer service, or HR administration.
  • Strong organizational, time management, and follow-up skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and adapt to changing demands.
  • Proficiency with Microsoft Office, Google Workspace, and ERP systems such as NetSuite is an asset.
  • Demonstrated professionalism, discretion, and sound judgment.
