Location: Wolfville, Nova Scotia

Employment Type: Full-Time

Reports To: CFO

Position Summary

The Human Resources & Payroll Administrator is responsible for ensuring employees are paid accurately and on time while administering employee benefits, supporting HR initiatives, maintaining personnel records, and helping managers deliver consistent HR practices across the organization.

This position plays an important role in supporting approximately 50–100 year-round and seasonal employees in a fast-paced hospitality and agricultural environment.

Key ResponsibilitiesPayroll Administration

  • Prepare, process, and reconcile bi-weekly payroll.
  • Ensure accurate recording of hours, overtime, vacation, statutory holiday pay, and other earnings.
  • Process new hires, terminations, wage adjustments, and employee status changes.
  • Maintain payroll records and ensure compliance with employment standards and tax legislation.
  • Prepare Records of Employment (ROEs) and year-end payroll documentation.
  • Respond to employee payroll inquiries.

Benefits & Retirement Administration

  • Administer the company's group health and dental benefits program.
  • Manage employee enrollment, changes, and terminations.
  • Administer the Group RRSP program.
  • Liaise with benefits providers regarding claims, billing, and employee questions.
  • Reconcile monthly benefit invoices.

Human Resources

  • Maintain employee personnel files and HR documentation.
  • Coordinate onboarding and offboarding activities.
  • Prepare employment agreements and HR correspondence.
  • Track employee vacation, leaves of absence, and other entitlements.
  • Coordinate recruitment by posting positions and coordinating interviews.
  • Support performance review administration.
  • Maintain HR policies and employee handbook updates.
  • Assist with employee training records and compliance requirements.

Compliance & Reporting

  • Ensure compliance with Nova Scotia Labour Standards and applicable employment legislation.
  • Maintain confidentiality of employee information.
  • Prepare HR and payroll reports for management.
  • Support annual budgeting by providing payroll and benefit forecasts.

Qualifications

  • Diploma or degree in Human Resources, Business Administration, Accounting, or a related field.
  • Minimum 3 years of experience in payroll and HR administration.
  • PCP (Payroll Compliance Professional) designation is considered an asset.
  • CPHR designation (or working toward it) is considered an asset.
  • Experience administering employee benefits and retirement savings plans.
  • Strong knowledge of Canadian payroll legislation and employment standards.
  • Experience with payroll and HR software.
  • Advanced Microsoft Excel skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to maintain strict confidentiality.
  • Excellent communication and interpersonal skills.
