ABOUT GAMEYARD

GAMEYARD is a Milton-based mobile event company that delivers structured, coach-led laser tag experiences at customer locations, including birthdays, camps, schools, community programs, company events, and ice arenas.

Our events are supervised, non-contact, mission-based, and use eye-safe infrared taggers with no projectiles.

THE ROLE

GAMEYARD is hiring one reliable, hands-on Event Operations Coordinator to take operational ownership of confirmed customer events.

Once a customer pays the booking deposit, the Event Operations Coordinator becomes responsible for making sure the event is properly planned, staffed, prepared, transported, operated, and closed.

This is not an office-only event-planning position. It combines event coordination, customer communication, responsibility for the GAMEYARD Chrysler minivan and equipment, driving, setup, on-site operations, pack-down, and preparing everything for the next event.

The Event Operations Coordinator works alongside an Event Lead.

The Event Operations Coordinator owns the logistics and overall event operation, while the Event Lead primarily coaches participants and runs the missions and rounds.

COMPENSATION AND SCHEDULE

- CA$22.00–CA$25.00 per hour, based on directly relevant experience, qualifications, availability, and demonstrated fit

- Minimum four paid hours for each completed standard event

- Standard gross event payment of CA$88.00–CA$100.00, depending on the employee’s confirmed hourly rate

- Additional required compensable time beyond four hours is paid at the employee’s confirmed hourly rate

- Guaranteed minimum gross earnings of CA$400 per biweekly pay period during the first 90 days, or actual earnings if higher

- The CA$400 guarantee is not added on top of higher actual earnings

- 4% vacation pay

- Casual part-time payroll employment

- Paid required training

- CPP, EI, and WSIB coverage

- Company Chrysler minivan and authorized business fuel provided

- Variable year-round schedule involving weekdays, evenings, and weekends

- No guaranteed number of events or fixed weekly schedule

This is a current vacancy for one person.

ESSENTIAL REQUIREMENTS

Applicants must:

- Hold a valid Ontario full Class G driver’s licence.

- Be willing and eligible to drive GAMEYARD’s Chrysler minivan, subject to automobile-insurance approval.

- Reliably report to GAMEYARD’s Milton operational base to collect the company vehicle and equipment.

- Have broad, reliable year-round availability across weekdays, evenings, and weekends.

- Communicate quickly and proactively regarding customers, staffing, timing, vehicle matters, and equipment.

- Be comfortable loading, carrying, setting up, packing down, and securing event equipment.

- Be confident communicating professionally with customers, venue staff, and team members.

- Be organized enough to coordinate multiple upcoming events and deadlines.

- Be comfortable taking ownership and resolving normal operational problems without constant direction.

CORE RESPONSIBILITIES

- Take operational ownership of an event once the customer’s deposit confirms the booking.

- Review the confirmed event information and create or maintain the event in Connecteam.

- Assign the Event Lead as early as practical and confirm their availability, responsibilities, and meeting arrangements.

- Arrange the appropriate crew.

- Events with 27 participants or fewer normally use one Event Operations Coordinator and one Event Lead.

- Events with more than 27 participants may require an additional team member.

- Plan the complete event timeline, including the Event Lead pickup or meeting time, departure time, route, target arrival time, setup window, event start and finish, and expected return to the Milton base.

- Approximately 72 hours before the event, introduce yourself to the customer, confirm operational details, provide necessary updates, answer reasonable questions, and remain the primary operational contact.

- Within approximately 24 hours of the event, confirm the final plan and ensure the Falcon F1 taggers and all required equipment are charged, clean, complete, functional, and ready.

- Collect the GAMEYARD Chrysler minivan and equipment, coordinate the pickup or meeting point with the Event Lead, and safely transport the crew and equipment.

- Arrive with enough time to unload and prepare the event, normally approximately 30–40 minutes before the scheduled start unless another arrival plan is confirmed.

- Work with the Event Lead to select a safe and effective setup area.

- Help unload, set up, safety-check, and prepare the event.

- Oversee the overall operation, timing, equipment, logistics, customer experience, and venue coordination while the Event Lead focuses on coaching.

- Resolve normal issues involving equipment, staffing, timing, customer requests, venue access, weather, or other unexpected circumstances.

- Help pack down, count, organize, and secure all equipment after the event.

- Drive the team and equipment back to the Milton base.

- Unload, inspect, and recharge the taggers and other required equipment so everything is ready for the next event.

- Promptly report incidents, customer concerns, vehicle issues, missing equipment, damage, or malfunctions.

- Report directly to Farhad Eizakshiri.

COMMUNICATION AND RELIABILITY

Quick communication is a non-negotiable requirement.

GAMEYARD is a mobile event business, and the team does not work together in one building. Delayed or missing communication about staffing, customers, equipment, transportation, or timing can jeopardize a customer commitment.

Once an event or work assignment is confirmed, the employee is expected to treat that commitment seriously.

Genuine emergencies can happen, but known availability issues and possible conflicts must be communicated as early as possible.

A specific university degree is not required.

We value demonstrated reliability, judgment, customer communication, organization, safe driving, physical capability, and the ability to take ownership.

PREFERRED ASSETS

- Previous responsibility for coordinating staff, customers, equipment, and schedules

- Experience with event setup and pack-down

- Experience driving a work vehicle or minivan

- Familiarity with Connecteam, Google Drive, email, or similar digital tools

- First Aid/CPR certification

- Experience in recreation, youth programs, camps, community events, or customer-facing entertainment

WORKING CONDITIONS

This is an active field position.

The employee must be comfortable:

- standing and walking for extended periods

- loading and unloading equipment

- carrying and organizing event equipment

- working indoors or outdoors

- working at ice arenas and other customer locations

- driving across the GTA and surrounding areas

- working variable weekday, evening, and weekend schedules
