Position Description

The Dispatcher supports daily operations by coordinating routes, dispatching crews, and ensuring service efficiency and customer satisfaction. This role serves as the central communication point between drivers, customers, maintenance, and operations leadership, while maintaining accurate records, supporting compliance processes, and troubleshooting operational issues in real time.

What You Will Do in this Role

Dispatching & Operational Coordination (40%)

• Schedule daily routes and assign crews to ensure effective service delivery.
• Dispatch drivers and act as the primary contact on the 2-way fleet radio.
• Troubleshoot operational issues in real time and escalate when required.
• Coordinate daily with Fleet/Maintenance to address vehicle readiness and service needs.
• Ensure driver tablets and route logs are closed out correctly each day.

Data Entry, Systems & Administrative Support (25%)

• Perform accurate data entry into TRUX and other company systems.
• Use software tools to support procurement, time/attendance, fleet control, AR/AP, inventory, and expense processes.
• Validate timecards and overtime entries prior to payroll submission.
• Prepare customer quotations in collaboration with Sales or the Operations Manager.
• Provide administrative support to the Transportation Operations Manager as needed.

Customer Service & Communication (20%)

• Act as first point of contact for customers, providing clear, timely information.
• Call customers regarding missed collections, delivery adjustments, or service concerns.
• Support the communication of regional policy changes, program adjustments, or operational updates.
• Work collaboratively with internal teams to resolve customer-facing issues.

Compliance, Reporting & Documentation (15%)

• Complete and submit daily, weekly, and monthly compliance paperwork.
• Review driver route sheets for accuracy and completeness.
• Maintain accurate operational records aligned with company standards and regulatory requirements.
• Support Management in monitoring productivity, service issues, and crew efficiency.
