Full job description

District Realty is a full-service apartment rental and property management company that has been serving the Ottawa market since 1987. We are looking for a friendly, organized Receptionist / Office Administrator to be the first point of contact at our head office and to support our team with day-to-day administrative and procurement tasks.

About the role

In this full-time, on-site role, you will manage our main reception desk, greet visitors, answer and direct calls, handle incoming and outgoing mail and couriers, and help keep the office running smoothly. You will also act as an administrator for our procurement system, helping staff submit and track orders so that the office has the supplies and materials it needs.

Key responsibilities

  • Greet and assist visitors, clients, and vendors in a professional and courteous manner
  • Answer, screen, and direct incoming phone calls to the appropriate staff or department
  • Monitor general inboxes and route messages to the right team members as needed
  • Receive, sort, and distribute incoming mail, packages, and courier deliveries; prepare outgoing mail and couriers
  • Maintain office supplies, including tracking inventory, placing orders, and organizing supply areas
  • Serve as an administrator for the company’s procurement system (creating requisitions, updating vendor information, assisting staff with basic system questions and approvals)
  • Coordinate with vendors and internal stakeholders to resolve simple procurement or billing discrepancies
  • Keep reception and common areas tidy, organized, and presentable for visitors
  • Provide general administrative support such as data entry, filing, scanning, and preparing basic documents
  • Assist with other office-related tasks and small projects as assigned

Skills and qualifications

  • Previous experience in a receptionist, administrative assistant, or office coordinator role
  • Strong customer service mindset and a professional, welcoming phone manner
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks at once
  • Comfortable working with computers, phone systems, and standard office software (email, calendars, Microsoft Office or Google Workspace)
  • Experience with a procurement or purchasing system is an asset; training will be provided
  • Strong verbal and written communication skills
  • Reliable, punctual, and able to maintain confidentiality and professionalism

Compensation

  • Salary range: $45,000 – $50,000, based on experience
