Keep Our Office Running Smoothly – Join Cougar Helicopters as an Administrative Assistant – Reception!
Do you enjoy keeping things organized, supporting others, and creating a professional office environment?
Cougar Helicopters is seeking an Administrative Assistant – Reception to support the day-to-day administrative operations of our office.
In this role, you'll coordinate front office activities, assist employees, visitors, and contractors, and provide administrative support across multiple departments to help ensure our operations run efficiently.
What You'll Do
- Welcome and assist visitors, customers and contractors while ensuring site access, safety, and security requirements are met
- Answer and direct incoming telephone calls and email inquiries
- Coordinate meeting rooms, appointments, and office calendars
- Prepare documents, scan, file, and maintain electronic and paper records
- Process incoming mail, courier deliveries, and distribute correspondence
- Order and maintain office supplies, kitchen inventory, company apparel, and promotional items
- Coordinate travel arrangements and meeting catering as required
- Maintain a clean, organized, and professional reception and common office areas
- Provide administrative support to departments across the organization
- Assist with a variety of office projects and other administrative duties as assigned
What You Bring
- At least 3 years of experience in an administrative, reception, or office support role
- Excellent verbal and written communication skills
- Strong interpersonal and customer service skills
- Exceptional organizational and time management abilities
- Proficiency with Microsoft Office (Word, Excel, Outlook, and Teams)
- Ability to prioritize multiple tasks and work independently while contributing to a collaborative team
- Professionalism, discretion, and strong attention to detail
