Full job description

Patient Experience Coordinator

Location: Burlington, ON (Aldershot) | Type: Part-Time (20–22 hrs/week, evening availability required)

Are you an organized, people-first administrative professional looking for a work culture that is as supportive as it is fun?

At Fit for Life Physiotherapy, we believe exceptional healthcare starts the moment a patient walks through our doors. As our Patient Experience Coordinator, you’ll be the warm smile, calm demeanor, and organizational engine that keeps our vibrant clinic running smoothly.

If you thrive in a fast-paced environment, love building connections, and want to work alongside a collaborative team that genuinely enjoys what they do—we’d love to meet you.

Why You’ll Love Working Here:

Located at the base of a thriving retirement community in Aldershot (just minutes from Hamilton, Waterdown, Dundas, and the Aldershot GO Station), our bright clinic offers a high-energy, multidisciplinary environment.

  • A Culture built on support & laughter: We take our work seriously, but not ourselves. Laughter is a daily fixture around the front desk, staff room, and treatment rooms.
  • Perks that actually feel like perks: Frequent staff parties, gift card draws, performance recognition, and a steady stream of staff room treats.
  • Room to grow: Opportunities to expand your hours through coverage, learn new systems, and develop your skills alongside our Patient Experience Manager and Clinical Lead.

A Day in the Life:

Working directly with our multidisciplinary team of 15+ clinicians (Physiotherapy, Massage Therapy, Osteopathy, Kinesiology, and more), your day will include:

  • First Impressions: Warmly welcoming patients in person and over the phone—setting the tone for their healing journey.
  • Schedule Optimization: Managing complex clinic schedules and patient bookings using modern online practice software.
  • Financial & Admin Flow: Efficiently processing payments, submitting direct billing to extended benefit plans, and managing clinic email communications.
  • Clinic Care: Ensuring the front desk and patient spaces remain clean, welcoming, and fully stocked (including light housekeeping and laundry).

What You Bring to the Team:

  • Exceptional Communication: A friendly, approachable, and empathetic phone and face-to-face presence.
  • Tech-Savvy Mindset: Comfortable navigating email, Google Workspace (Drive, Sheets), and multi-line communication systems. (Experience with JaneApp is a big bonus, but we'll train the right person!)
  • Resourcefulness & Decisiveness: Strong problem-solving instincts, excellent multitasking abilities, and the confidence to handle a bustling desk with poise.
  • Team-First Attitude: A genuine desire to support fellow team members and contribute to a harmonious, positive workplace.

Compensation & Benefits:

  • Competitive hourly rate ($20.00 - $22.00/hour)
  • Part-time schedule: 20–25 hours per week (evening coverage required)
  • Extra hours available for vacation and leave coverage
  • Team appreciation rewards, staff draws, and recognition programs
