Job Synopsis

The Thrift Store Volunteer Coordinator recruits, trains, schedules, and supports volunteers to ensure efficient and complementary volunteer services are available for thrift operations. The Volunteer Manager fosters a positive and productive environment by managing volunteer work schedules, maintaining volunteer records, and promoting the recognition of volunteer contributions. This position coordinates the assignments of volunteers working with staff to support donation processing, cleaning, and customer service.

Qualifications

  • Minimum High School Diploma combined with relevant work experience will be considered; bachelor’s degree in a relevant field is preferred (e.g., Human Resources, Non-profit Management, Volunteer Management
  • Minimum of 2 years working in a volunteer coordinator/management role
  • Strong understanding of the different demographics and generations of volunteers
  • Experienced in conducting volunteer recruitment activities
  • Knowledgeable about legislation applicable to thrift store volunteer management including Occupational Health and Safety Act, Freedom to Care Act, Personal Information Protection Act and Privacy Act
  • Strong inter-personal and communications skills
  • Proficient in Microsoft office applications including Excel, Word and Outlook and the use of specialized volunteer management or database software is an asset
Self-motivated, able to work independently and willing to take initiative.


Key Responsibilities

Volunteer Management Leadership:
The Volunteer Manager oversees the entire lifecycle of the volunteer program, including recruitment, screening, training, scheduling, and retention to support organizational goals. Acts as a liaison between staff and volunteers, creating a collaborative environment, fostering engagement, and ensuring the program aligns with the organization's mission and budget. The Volunteer Coordinator works closely with the Shop’s Leadership Team to maintain complimentary volunteer involvement. This includes but is not limited to:
Recruitment:
  • Assists department leads with volunteer role design, including volunteer role descriptions,
  • Develop and implement recruitment strategies; Advertise for and recruit volunteers for specific roles in the Shop,
  • Meets with community groups, schools, churches, creating partnerships to bring volunteers into the Shop,
  • Speaks at churches/schools and other community organizations to create greater awareness of the work of the Mennonite Central Committee,
  • Oversees the screening of volunteer applications and volunteer interviews
  • Inputs information into volunteer database screen, and coordinates onboarding activities for new volunteers including training.

Engage and Onboard:
  • Develop and deliver an extensive training program for all volunteers about MCC’s vision and mission, programs both locally and globally, MCCA Shop policies, OH&S, volunteer expectations,
  • Coordinate training requirements for new volunteers with the department leads,
  • Work closely with members of the Leadership Team to coordinate training plans for each new volunteer,

Support and Manage:
  • Meet with volunteers monthly in their first 6-months to ensure they feel welcomed and supported,
  • Collecting volunteer data per requirements outlined by MCCA,
  • Generating reports on volunteer involvement for General Managers and MCCA,

Train and Grow:
  • Participate in formal chat sessions on a semi-annual basis with all volunteer groups to assess strength of culture and needs/opportunities,
  • Create action plan to resolve the opportunities identified by the volunteers,
  • Meet regularly with each member of the Leadership Team to discuss individual volunteer performance and opportunities for growth.

Feedback and Celebrate:
  • Lead by example interacting and showing of appreciation to volunteers daily,
  • Take the lead in planning of special events and recognizing special events in volunteers’ lives i.e. birthdays, recognition of volunteer milestones,
  • Coordinate regular communication with volunteers about operations, volunteer stories, MCCA events, etc.

Plan and Evaluate:
  • Conducts annual check-ins with every volunteer, creating a culture of openness and appreciation,
  • Share volunteer feedback with applicable Leadership Team members,
  • Explore new volunteer opportunities throughout the Shop.

Scheduling & Coverage:
  • With input from Shop Management, creates volunteer schedules for each department
  • Manages volunteer schedules to ensure sufficient coverage for sales floor, donation intake, and sorting areas.
Records Management:
  • Maintains accurate databases of volunteer hours, contact information, and contributions.

The position requires working in a fast-paced retail shop and processing environment. This position requires the ability to constantly respond "positively" to the demands/requests from volunteers.
