Position Summary

The Clinical Services Clerk – Receptionist provides administrative, clerical and reception support to the long-term care home, with a particular focus on supporting clinical services. The position serves as a first point of contact for residents, families, visitors, staff and external service providers while assisting with the efficient organization of clinical and administrative information.

Key Responsibilities

  • Greet and assist residents, families, visitors, staff and external service providers in a professional and courteous manner.
  • Answer, screen and direct incoming telephone calls and general inquiries.
  • Provide clerical and administrative support to the Director of Care, nursing leadership and other departments as required.
  • Assist with maintaining resident clinical records, filing, scanning, photocopying and document organization.
  • Prepare and distribute clinical forms, reports, correspondence and other documentation.
  • Assist with scheduling and coordinating appointments, meetings, transportation and external clinical services as assigned.
  • Receive and appropriately distribute incoming correspondence, reports, faxes and other clinical information.
  • Maintain office supplies, forms and clinical documentation resources.
  • Support data entry, tracking logs, audits and preparation of information required for quality improvement and regulatory purposes.
  • Maintain strict confidentiality and protect resident, employee and organizational information in accordance with privacy legislation and Home policies.
  • Communicate effectively with residents, families, staff, physicians, pharmacies, laboratories, hospitals and other healthcare partners as required.
  • Follow infection prevention and control, health and safety, emergency and other applicable Home policies and procedures.
  • Perform other related clerical and administrative duties as assigned.

Qualifications

  • Completion of secondary school; post-secondary education in medical office administration, health services administration or a related field is preferred.
  • Previous reception, clerical or administrative experience, preferably in long-term care, healthcare or a medical office environment.
  • Strong computer skills, including Microsoft Office and electronic documentation systems.
  • Excellent communication, customer service, organization and time-management skills.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work independently while effectively supporting an interdisciplinary team.
  • Knowledge of medical terminology and Ontario long-term care practices is considered an asset.

Pay: From $22.50 per hour

Expected hours: 15.0 – 30.0 per week
