Administrative Operations Manager

Cascade Orthotics – Calgary, AB

Cascade Orthotics is seeking an experienced, organized, and solutions-focused Administrative Operations Manager to help lead and strengthen the administrative operations of our growing clinic.

This is not a traditional reception or scheduling role. We are looking for someone who can lead administrative operations, train and support staff, improve workflows, identify inefficiencies, and help build a culture focused on accountability, professionalism, and problem-solving.

Our clinic provides custom orthotic care including spinal bracing, lower-limb bracing, and custom foot orthoses using modern CAD/CAM and digital technologies. We are committed to continuous improvement in both patient care and clinic operations.

About the Role

The Administrative Operations Manager will oversee and improve the day-to-day administrative functions of the clinic while helping develop systems, processes, and team accountability.

The ideal candidate is someone who:

This role works closely with clinic ownership, clinicians, technicians, and administrative staff.

Key Responsibilities

Leadership & Team Development

  • Train, mentor, and support administrative staff
  • Help establish clear expectations, accountability, and follow-through
  • Foster a positive, respectful, and solution-oriented workplace culture
  • Conduct regular staff check-ins and workflow reviews
  • Assist with onboarding and development of new team members

Operations & Workflow Improvement

  • Identify inefficiencies and implement practical workflow improvements
  • Develop and maintain administrative systems and procedures
  • Improve communication and task tracking processes
  • Help reduce recurring administrative and billing errors
  • Coordinate workflow between clinicians, technicians, and administration
  • Support implementation of operational and technology improvements

Administrative Oversight

  • Oversee scheduling, referrals, intake, insurance coordination, and documentation workflows
  • Ensure accuracy and completion of administrative tasks and records
  • Support billing and funding workflow oversight
  • Monitor workload distribution and operational bottlenecks
  • Maintain organized and efficient clinic operations

Qualifications

Required

  • Previous leadership or supervisory experience in an administrative or operations role
  • Strong organizational and problem-solving skills
  • Excellent communication and interpersonal abilities
  • Ability to manage multiple priorities and maintain follow-through
  • Professional, calm, and solutions-focused approach
  • Strong attention to detail and accountability

Preferred

  • Experience in healthcare, allied health, or professional clinic settings
  • Experience training and mentoring staff
  • Experience improving workflows or implementing operational systems
  • Familiarity with EMR or healthcare software systems
  • Comfort with learning rapidly changing technology and process improvement tools
