About Ideaspace Consulting

We’re looking for someone who combines excellent project coordination with strong communications skills. You’ll help bring structure to complex projects, keep important details and decisions moving and produce clear communications for clients, community members and the public.

What you’ll do

  • Keep projects organized and moving
  • Set up and maintain work plans, schedules, action logs, decision records and approval trackers.
  • Track deadlines, dependencies, commitments and outstanding decisions.
  • Follow up early and respectfully when information, decisions or approvals are needed.
  • Coordinate meetings, interviews, workshops and engagement activities, including invitations, materials, logistics, notes and next steps.
  • Maintain orderly files, naming conventions, versions and project records.
  • Support project budgets, time tracking, invoicing inputs and contact management.

Develop and deliver communications

  • Draft and edit emails, notices, newsletters, web copy, fact sheets, presentation content, social posts and participant materials.
  • Translate technical or internal information into clear, accurate language for public and community audiences.
  • Coordinate reviews and approvals, incorporate feedback carefully and complete final quality checks.
  • Coordinate design, printing, digital publishing and distribution with clients, team members and suppliers.
  • Support responses to public or community inquiries.
  • Apply Ideaspace and client standards consistently while recognizing when guidance is needed.

Support varied client assignments

  • Move between projects and subject areas while keeping priorities and commitments clear.
  • Learn new client and project contexts quickly.
  • Work with project managers and subject-matter experts to confirm facts, timelines and potential impacts.
  • Step into temporary or high-demand communications assignments when additional support is needed.
  • Contribute to proposals, research, engagement activities and other team priorities.

What you need to bring

  • At least three years of progressively responsible experience in project coordination, communications or a related role.
  • Strong organizational skills and a demonstrated habit of reliable follow-through.
  • Clear, concise, and excellent writing and editing skills.
  • Excellent attention to detail, including accuracy with names, dates, versions, approvals and final production.
  • Experience managing competing priorities and communicating early when something may be at risk.
  • Comfort creating structure when a process is incomplete.
  • The judgement to ask useful questions rather than making unsafe assumptions.
  • Professional and thoughtful communication with clients, colleagues, community members and suppliers.
  • Confidence using common office, collaboration and project-tracking tools and learning new systems.
  • A collaborative, coachable approach and willingness to contribute to both high-profile deliverables and the quiet details that make them possible.

Experience supporting communications for ]health, housing, environment, infrastructure or other public-facing work would be helpful. Experience with content management systems, email platforms, digital publishing, light graphic design or multi-step client approvals would also be an asset.

This role may be a strong fit if

You like making the messy manageable and take satisfaction in a project that runs well because you were paying attention. You enjoy both coordination and communications, can move between different subjects and take initiative while knowing when accuracy or risk requires a check-in.

This role is less likely to suit someone who wants to focus only on writing or administration, dislikes detailed tracking and follow-up or expects every week to be predictable.

Location and work arrangement

This is a hybrid position based in Greater Vancouver. Regular in-person work at our downtown office, client meetings and team collaboration are required. Applicants must currently be located in Greater Vancouver. This is not a remote role.
