We help authors, thought leaders, and organizations bring their stories to life through book publishing, content strategy, and media relations. Our team is made up of creatives, strategists, and operators who believe that great ideas deserve to be shared with the world. We are looking for an Admin + Office Coordinator who can keep our office running smoothly so our team can focus on what they do best.

WHAT YOU WILL DO

Front Desk & Visitor Experience

  • nswer all incoming phone calls and take accurate messages with warmth and professionalism
  • Greet and host all incoming visitors in a friendly and welcoming manner
  • Ensure the reception area and communal spaces are tidy, organized, and inviting

Administrative Support

  • Provide administrative support to the Director of Operations and the leadership team
  • Assist with scheduling meeting spaces, coordinating group hosting, and organizing staff meetings
  • Support team-building activities, special occasions, and internal events

Office Operations

  • Manage daily organization and administration of communal spaces, including the kitchen, boardroom, and common areas
  • Conduct weekly inventory of office and kitchen supplies
  • Place orders for necessary supplies and manage vendor relationships
  • Coordinate shipping and receiving of packages and materials

Business Development Support

  • Assist the Principal with business development tasks, including research, reporting, and data compilation
  • Support the team with various administrative projects as required

Other Duties

  • Regular care for all plant life in the office
  • Perform other duties as assigned

WHAT YOU BRING

Required Skills and Attributes:

  • Strong attention to detail and a commitment to accuracy
  • Experience in administrative or office coordination roles
  • Excellent written and verbal communication skills
  • Exceptional planning, organization, and time management skills
  • Self-motivated and able to thrive in a fast-paced environment
  • Strong computer skills, particularly with the Microsoft Office Suite (Word, Excel, Outlook)
  • A welcoming and hospitable demeanour with a natural ability to connect with people

Nice to Have:

  • Experience with project management tools (Asana, Trello, or Monday.com)
  • Familiarity with CRM software (HubSpot, Salesforce, or similar)
  • Basic graphic design skills (Canva, Adobe Spark)
  • Interest in publishing, media, or communications

Requirements:

  • Legal authorization to work in Canada
  • Reside in or within commuting distance of Vancouver, BC
  • Ability to work in-office (this is not a remote position)
