Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, manage administrative tasks, and ensure smooth office operations. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office software. Prior experience in medical or dental offices is a plus, but not required. The position offers an opportunity to work in a dynamic environment where customer service and administrative excellence are valued.

Responsibilities

  • Greet visitors and clients warmly, providing exceptional customer service
  • Answer, screen, and forward incoming phone calls; take accurate messages and handle e-mail inquiries.
  • Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
  • Perform data entry tasks accurately into QuickBooks and other relevant software
  • Handle filing, record keeping, and document management with attention to detail
  • Support front desk operations including check-in/check-out procedures
  • Assist with administrative duties such as proofreading documents, organizing files, and managing correspondence
  • Provide support for bookkeeping tasks related to office operations
  • Maintain a professional appearance and uphold phone etiquette at all times
  • Promote retail products (notably Chinese Herbs) and upsell additional services, including but not limited to massage and mental health services

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer skills with the ability to learn new software quickly
  • Experience with QuickBooks or bookkeeping is preferred
  • Excellent organizational skills with the ability to multitask efficiently
  • Strong typing speed and accuracy for data entry and document preparation
  • Attention to detail for proofreading and maintaining accurate records
  • Exceptional customer service skills with friendly phone etiquette
  • Previous clerical or administrative experience, especially in medical or dental offices, is advantageous
