Job Title: Safety Administrator & Compliance Manager

Department: Safety / Compliance
Reports To: Safety Manager / Operations Manager

Job Summary

The Safety Administrator & Compliance manager supports the trucking company’s safety and compliance operations by maintaining accurate records, entering and tracking safety-related data, and assisting with DOT and company safety requirements. This role ensures timely documentation, organization, and reporting to help maintain compliance with federal, state, and company regulations.

Key Responsibilities

Safety Administration -

  • Maintain driver qualification files (DQF) in compliance with DOT/FMCSA regulations
  • Track and update driver credentials, including CDL, medical cards, MVRs, and training records
  • Assist with accident reporting, documentation, and follow-up tracking
  • Monitor compliance with safety policies, procedures, and corrective actions
  • Schedule and track safety meetings, training sessions, and certifications
  • Support audits and inspections by organizing and providing required safety documentation
  • Manage DOT, MTO, and IFTA compliance for fleet operations.
  • Maintain Driver Qualification Files, HOS/ELD records, and vehicle maintenance logs.
  • Oversee drug & alcohol testing program and accident investigations.
  • Provide driver safety training and ensure regulatory readiness.
  • Vehicle maintenance for all the company assets.
  • Detection, Reporting and Repair of all the roadside inspections.

Communication & Coordination -

  • Communicate with drivers regarding missing or expired documents
  • Coordinate with operations, dispatch, and maintenance teams as needed
  • Respond to internal requests for safety and compliance information

Qualifications & Skills

  • High school diploma or equivalent (Associate’s degree preferred)
  • Previous experience in trucking, transportation, or safety administration preferred
  • Knowledge of DOT/FMCSA regulations is an asset
  • Strong data entry skills with high attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and safety management software
  • Excellent organizational and time-management skills
  • Ability to handle confidential information professionally
  • Strong written and verbal communication skills

Work Environment

  • Office-based position in a fast-paced trucking environment
  • May require occasional interaction with drivers and operational staff

Physical Requirements

  • Prolonged periods of sitting and computer use

Job Type: Full-time

Pay: $19.89-$23.00 per hour

Expected hours: 40 – 50 per week
