We are currently recruiting for a Medical Office Assistant
Employment: Full-time permanent
Schedule: Days and Evenings (must be willing to work some evenings until 7:30pm), some weekends may be required
FTE: 1.0
Location: Multi-site: This position will be located primarily at new clinic and/or drop-down clinic spaces based in East Mississauga (in development). The position will also occasionally work out of CarePoint Health’s main clinic location at CarePoint Health – 2695 North Sheridan Way, Suite 120, Mississauga, ON
Salary: $48,128.43-$56,622 and a comprehensive benefits package

CPH is also the Network Lead Organization for the Ontario Structured Psychotherapy (OSP) Program in Brampton, Halton and Mississauga. OSP offers adults (18+) in Ontario free, short-term, evidence-based cognitive-behavioural therapy and related services for depression, anxiety, and anxiety-related conditions.
What is this role?
We are seeking a friendly, compassionate, and organized Medical Office Assistant to join our growing healthcare team. In this role, you will work at the front desk or booking desk of our medical office and provide assistance to our patients and other visitors as well as support clerical and administrative functions. You will be responsible for corresponding with patients, coordinating patient referrals, maintaining the organization of our office, and ensuring that our environment is welcoming, calm, and quiet for our patients and their families.
Responsibilities:
Reporting to the Office Manager your key responsibilities would include:
- Communicate with patients by phone or email about the program(s) to provide information about the program(s) and answer questions if they are unsure about whether it will meet their needs.
- Review referral information for completeness and complete required data elements.
- Communicate with service providers as needed to support successful connection of community clients to CPH’s programs and services.
- Greet patients, vendors, and other visitors to our office
- Answer patient questions and provide assistance and directions when necessary
- Field all phone calls that arrive using our general office number
- Respond to emails that arrive using our general office email address
- Utilize our medical office software to schedule new and follow-up appointments for our patients
- Register new patients and update necessary records
- Direct patient connections to appropriate team members
- Distribute forms and paperwork to patients and then check them over to ensure that required fields are completed appropriately
- Process bills, invoices, and patient payments in office
- Maintain confidentiality of all patient records
- Manage inventory of necessary office supplies and coordinate reordering
- Ensure that the waiting room environment remains quiet, calm, and welcoming
- Uphold the positive reputation of our medical office by always treating visitors in a friendly, welcoming, and compassionate manner
Qualifications:
The right individual would have:
- Community College Diploma or high school diploma with sufficient equivalent work experience
- Completion of a certificate program preferred
- 3+ years of experience working as a medical clerical assistant in a relevant role
- Friendly and compassionate disposition
- Excellent organizational and time management skills
- Strong interpersonal communication skills
- Ability to work independently or as part of a team
- Dedication to maintaining confidentiality of all patient records
- Expertise in EMR use and Microsoft Office Suite
- A satisfactory and current Criminal Background and Vulnerable Sector Screening and proof of immunization required
- Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code
