Job Description: Coastal BC Office Manager for National Office in Nanaimo

Position Overview: We are seeking an experienced and organized Office Manager to oversee the administrative operations of our National Telco Sales Office located in Nanaimo, serving the coastal British Columbia region. The successful candidate will be responsible for managing day-to-day tasks, interacting with executives, building owners, and commercial leaseholders, and maintaining efficient office procedures. The ideal candidate should possess a minimum of 5 years of relevant experience, excellent communication skills, proficiency in MS Office, ZOHO CRM, and Quickbooks, and a strong ability to manage remote work while staying focused and organized.

Key Responsibilities:

  • Manage administrative tasks and ensure the smooth functioning of the National Telco Sales Office in Nanaimo.
  • Interact with executives, building owners, and commercial leaseholders to facilitate effective communication and address their needs.
  • Utilize ZOHO CRM to track sales follow-ups, update client information, and generate reports for sales performance analysis.
  • Maintain accurate records and documentation related to sales transactions, client communications, and office activities.
  • Work closely with remote team members, providing support and guidance as needed to ensure consistent performance.
  • Handle inquiries and provide information to clients, partners, and internal stakeholders through various communication channels, including phone, email, and online platforms.
  • Manage office supplies, inventory, and equipment maintenance to ensure a well-equipped and efficient workspace.
  • Utilize Quickbooks to manage financial transactions, invoices, and expense tracking.
  • Contribute to the development and implementation of office policies, procedures, and protocols.
  • Assist with the negotiation and management of commercial leases and contracts.
  • Maintain a calm and organized work environment, even during busy periods, to ensure productivity and professionalism.
  • Proficiency in French is considered an asset, allowing for effective communication with bilingual stakeholders.
  • Exhibit strong phone skills while handling client inquiries and facilitating communication.
  • Demonstrate a high level of focus and organization, particularly when managing remote work responsibilities.

Qualifications and Skills:

  • A minimum of 5 years of experience in office management or a related field.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint) for documentation, reporting, and presentation purposes.
  • Experience using ZOHO CRM for customer relationship management and sales tracking.
  • Familiarity with Quickbooks for financial management and record-keeping.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Experience working with executives, building owners, and handling commercial leases is advantageous.
  • Proficiency in French is considered an asset for effective communication with bilingual stakeholders.
  • Exceptional phone skills to manage client inquiries and maintain positive relationships.
  • Calm and composed demeanor, even in fast-paced and high-pressure situations.
  • Highly organized with excellent attention to detail and the ability to multitask effectively.
  • Self-motivated and able to work independently, particularly in an 80% remote work setting.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
