Job Summary

River Landing Pediatrics is a patient-focused pediatric office committed to providing compassionate care to children in Saskatoon. We are seeking an experienced and personable Experienced Medical Office Assistant (MOA) to support both the administrative and clinical operations of the office. The Experienced MOA will play a critical role in ensuring a warm, welcoming environment, smooth patient flow, and accurate medical documentation.

They require a balance of clerical proficiency and exceptional interpersonal skills to create a welcoming and calming environment for children and their families.

Key duties and responsibilities

Administrative duties

  • Appointment scheduling and management via EMR
  • Patient reception: Serve as the first point of contact, greeting children and their families, checking in patients, and verifying their information.
  • Maintain accurate patient charts and documentation within the EMR confidentially
  • Coordinate incoming and outgoing faxes, forms, and medical records
  • Manage billing-related support tasks and other under physician direction
  • Respond to telephone, email, and in-person inquiries
  • Office organization: Maintain the clinic's reception, exam, and other areas, keeping them clean, disinfected, orderly, and stocked with necessary supplies.
  • Assist with daily mail and inventory-related administrative needs
  • Perform general administrative tasks such as filing, faxing, and scanning documents
  • Perform other related duties as assigned
  • Participate in clinic team meetings and quality improvement activities

Clinical & Patient Support

  • Escort patients to exam rooms, minimizing wait times
  • Take and record vital signs, including temperature, and perform important pediatric measurements such as height, weight, and head circumference for infants.
  • Assist with clinical procedures and chaperone when required
  • Collect patient samples, such as blood or urine, for laboratory testing, and ensure proper labeling and handling of specimens
  • Maintain patient confidentiality and follow privacy standards (e.g., HIPPA)
  • Perform other related duties as assigned

Skills & Attributes:

  • Professional, compassionate, and patient-centered communication style
  • Strong computer skills and familiarity with Microsoft Office Suite (Word, Excel, Outlook)
  • Detail-oriented and highly organized
  • Ability to multitask and prioritize in a busy clinical setting
  • Reliable, self-motivated, and team-oriented
  • Familiarity with medical terminology, billing practices, and infection control protocols

Education & Certifications:

  • High school diploma or equivalent (required)
  • Completion of a Medical Office Assistant certificate or diploma program (required)

Experience:

  • Minimum 3+ years of experience in a medical clinic or healthcare environment
  • Experience working with electronic medical record (EMR) systems such as ACCURO

Working Conditions

  • Clinical environment with direct patient contact
  • May involve prolonged standing, walking, and light lifting
  • Use of PPE and adherence to clinic infection control policies required
  • Interaction with pediatric patients (ages 0 – 18 years) and their patients/ caregivers.
