Summary

We’re looking for a Commercial HVAC Service Dispatcher to be the backbone of our service operations—ensuring seamless scheduling, top-tier communication, and efficient coordination between customers and technicians.

Your Responsibilities

  • Call Management: Answer incoming service calls and ensure all customer information is accurately recorded in the system.
  • Scheduling & Coordination: Schedule and dispatch technicians for service, maintenance, and emergency calls, ensuring efficient routing and full daily workloads.
  • Technician Support: Receive and approve technician checkouts, verifying job details, time, and materials for accuracy.
  • Repair Quote Review: Review and approve repair quotes prior to sending to customers, ensuring clarity, pricing accuracy, and completeness.
  • Permit Coordination: Obtain and manage necessary permits for installations, repairs, and replacements.
  • Vendor & Subcontractor Coordination: Arrange for cranes, electricians, and other vendors as required for service or installation projects.
  • Inventory Oversight: Monitor parts inventory, ensure proper stock levels, and manage returns for unused or defective parts.
  • Communication: Maintain clear communication with technicians, customers, and management to ensure expectations are aligned and issues are resolved quickly.
  • Collaboration: Work closely with the Service Manager, Service Coordinator, and leadership team to optimize dispatching efficiency and job profitability.
  • Special Projects: Support management on assigned projects to improve service efficiency, reporting, and customer satisfaction.
  • Teamwork: Partner with technicians, the service manager, and the leadership team to streamline operations and enhance workflow.

What You Bring

  • 3+ years of experience in HVAC service dispatching, coordination, or a similar fast-paced administrative role.
  • Strong communication skills with the ability to manage multiple conversations and keep all parties informed.
  • Exceptional organizational abilities to handle scheduling, service tracking, and problem resolution efficiently.
  • Tech-Savvy Mindset: Proficiency in MS Office and BuildOps, Service Titan, or other HVAC service software.
