Job Summary

We are seeking a highly organized and proactive Personal Assistant to support executive-level management with a variety of administrative and clerical tasks. The ideal candidate will demonstrate excellent communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. This role offers an opportunity to work in a dynamic environment where professionalism and discretion are paramount. Candidate must speak English fluently, have a dependable means of transportation, and a smartphone.

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements.
  • Handle incoming calls through multi-line phone systems with professional phone etiquette, screening and directing inquiries as appropriate.
  • Perform data entry, filing, and proofreading to ensure accuracy of documents and correspondence.
  • Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions.
  • Prepare reports, presentations, and correspondence using Microsoft Office applications.
  • Coordinate with clients and vendors via email, including the use of DocuSign for electronic signatures.
  • Support front desk operations, including greeting visitors and managing office supplies inventory.
  • Organize files and maintain organized records for easy retrieval.
  • Provide general administrative support to ensure smooth office operations.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with QuickBooks and basic bookkeeping principles.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent typing speed and data entry accuracy.
