Job description

About the role:

Are you a total organization wizard who gets a weird amount of satisfaction from a perfectly sorted spreadsheet or a flawlessly organized folder? If so, we would love to have you join our team this summer as our People & Culture Summer Student!

In this role, you’ll be our behind-the-scenes hero, helping us keep our people & culture and health & safety worlds running smoothly. You'll dive into things like organizing team data, auditing files, and finding clever ways to streamline our daily processes. It’s the perfect, supportive environment to get some incredible, real-world corporate experience under your belt all while working with a team that can't wait to cheer you on!

What you’ll do:

Human Resources Support (approx. 50%)

  • Help screen resumes, coordinate interview schedules
  • Transition legacy physical employee files into our digital Google Workspace, ensuring strict naming conventions and privacy standards.
  • Audit active employee files to ensure mandatory compliance documents (signed contracts, tax forms, policy sign-offs) are present and accounted for.
  • Assemble onboarding packages, create new employee profiles in our HRIS (Human Resources Information System), and coordinate first-day logistics.
  • Leverage Jotform to transition from manual tasks to structured digital workflows by building automated approval chains, generating dynamic electronic documents (PDFs), and standardizing data collection processes.

Health & Safety Support (approx. 50%)

  • Help update and digitize Safety Data Sheets (SDS), workplace safety policies, and Joint Health and Safety Committee (JHSC) minutes, workflows and SOP documents.
  • Track employee compliance for mandatory safety training (e.g., WHMIS, First Aid, Lockout/Tagout) and send renewal reminders.
  • Research relevant safety topics, regulatory updates, and industry best practices to source materials and draft content for team safety talks, newsletters, and awareness campaigns.
  • Track safety supply inventory and proactively notify the team regarding missing, low, or expired items to ensure timely reordering.

What you’ll bring to the role:

  • Currently enrolled in a post-secondary program (University or College) pursuing a degree/diploma in Human Resources Management, Occupational Health & Safety, Business Administration, or a related field
  • Intermediate computer skills in Google Suite (Sheets, Docs, Slides)
  • Excellent written and verbal communication skills, with a professional and welcoming demeanor
  • Experience with HRIS or safety tracking software is an asset
  • Ability to handle highly sensitive, confidential employee information with the utmost integrity
  • Sharp attention to detail with the ability to manage multiple small projects simultaneously

What we offer:

  • Hourly wage between $20 to $21/hr
  • Collaborative team environment with a focus on providing a safe working environment
  • Award winning culture recognized by Waterstone Human Capital
