White Table Catering & Events is one of British Columbia's leading catering and event companies, recognized nationally for creating exceptional experiences. From luxury weddings and corporate events to exclusive venues and unique celebrations, we pride ourselves on delivering outstanding food, exceptional service, and unforgettable events.

We are looking for a highly organized, relationship-driven Part-Time Event Sales Coordinator to join our team on a 9-month maternity leave contract. This position is ideal for someone who enjoys building client relationships, coordinating details, and helping clients bring their vision to life.

As the Event Sales Coordinator, you will be the first point of contact for many of our clients. You'll guide them through the sales process, prepare proposals and contracts, coordinate tastings, and work closely with our Event Specialists to ensure every event is set up for success.

This is a client-focused sales position where your ability to communicate, stay organized, and build relationships is just as important as your attention to detail.The Event Sales team is responsible for driving profitable revenue for White Table Catering, The Hangar Venue, and The Fairway Room by securing new business, nurturing client relationships, and delivering an exceptional sales experience from initial inquiry through to event handoff.

Success in this role is measured not only by revenue generation but also by the quality of each booking, profitability, client satisfaction, and the seamless transition of information to the Event Specialists. Event Sales serves as the first impression of the company and plays a critical role in protecting our reputation for excellence while supporting sustainable growth.

Core Responsibilities

Sales & Business Development

  • Drive consistent sales performance in alignment with company revenue goals, budgets, and strategic initiatives.
  • Develop new business opportunities through networking, referrals, prospecting, partnerships, industry events, and existing client relationships.
  • Respond promptly to inquiries, qualify leads, prepare quotations, and actively follow up to maximize conversion rates.
  • Identify opportunities to increase profitability through pricing strategies, package development, upselling, and innovative service offerings.
  • Ensure all proposals, quotations, and contracts are accurate, competitive, and reflect current company pricing and policies.
  • Monitor industry trends, competitor activity, and client expectations, bringing forward recommendations that keep the company innovative and competitive.
  • Represent White Table professionally at venue tours, networking events, client meetings, tastings, and partnership opportunities.

Client Relationship Management

  • Build and maintain long-term relationships with corporate clients, wedding clients, event planners, venues, and industry partners.
  • Understand each client's vision, objectives, and expectations while providing professional guidance throughout the sales process.
  • Deliver a responsive, knowledgeable, and consultative sales experience that reflects the White Table brand.
  • Identify opportunities to generate repeat business and referrals through exceptional client care.

Event Handoff & Internal Communication

  • Prepare comprehensive contracts and ensure all event details are accurately documented.
  • Effectively transition each confirmed event to the assigned Event Specialist, ensuring all client expectations, preferences, timelines, and operational requirements are clearly communicated.
  • Work closely with the Event Specialist Team Lead to ensure events are distributed fairly, strategically, and in accordance with workload, experience, and client needs.
  • Maintain accurate client records and sales documentation within company systems.

Tastings & Client Experience

  • Coordinate and attend client tastings as required.
  • Present menus, services, and event concepts professionally while building client confidence and excitement.
  • Collaborate with culinary and operations teams to ensure tastings accurately reflect the White Table experience.

Event Support

Attend client events to:

  • Support the successful execution of high-value or high-profile events.
  • Strengthen relationships with key clients, planners, and venue partners.
  • Provide additional support during peak operational periods.
  • Ensure that client expectations established during the sales process are successfully delivered.
  • Identify opportunities for future business and continuous improvement.

Team Collaboration

  • Foster strong working relationships with Event Specialists, Operations, Culinary, Production, and Leadership.
  • Communicate proactively to ensure operational readiness and successful event execution.
  • Share market intelligence, client feedback, and sales opportunities that support company growth.
  • Contribute positively to team culture while demonstrating professionalism, accountability, and ownership.

Performance Expectations

Success in this role will be evaluated based on:

  • Achievement of sales and revenue targets.
  • Sales conversion rate.
  • Client satisfaction and post-event feedback.
  • Timeliness of communication and client follow-up.

We're Looking For Someone Who

  • Has previous experience in sales, a background in hospitality and / or catering is an asset.
  • Is confident communicating with clients in person, by phone, video conferencing and by email.
  • Is highly organized and able to manage multiple projects simultaneously.
  • Has exceptional attention to detail.
  • Enjoys working in a fast-paced environment.
  • Is proactive, positive, and has a a solution-oriented mindset.
  • Has strong computer skills and is comfortable learning new software.
  • Can work independently while collaborating effectively with a team.
  • Has the flexibility to attend occasional evenings or weekends for tastings or events.

Job Types: Part-time, Temporary

Pay: $30.00 per hour

Expected hours: 20.0 – 30.0 per week

Work Location: Hybrid remote in Abbotsford, BC
