Overview
We are seeking a proactive and detail-oriented Fleet and Equipment Coordinator to join our dynamic team. In this role, you will oversee the management, maintenance, and repair of a diverse fleet of heavy machinery, industrial equipment, and vehicles. Your expertise will ensure equipment reliability, safety compliance, and optimal operational performance across our mining operations.

Responsibilities:

Fleet & Equipment Management

  • Maintain an up-to-date inventory of all vehicles and equipment including service trucks, welding trucks, vans, PME, trailers, and portable welders.
  • Schedule and coordinate preventive maintenance, inspections, and repairs.
  • Track mileage, hours, fuel usage, and maintenance history for operational efficiency.

CVIP Compliance

  • Schedule and manage Commercial Vehicle Inspection Program (CVIP) inspections for fleet vans and other regulated vehicles.
  • Ensure completed inspection documents are uploaded and logged in BIStrainer.
  • Track upcoming due dates and renewals using the platform’s compliance tools.

Crane Certification – Service & Welding Trucks

  • Track and maintain up-to-date crane certifications for all lifting devices on service and welding trucks.
  • Schedule inspections, load tests, and operator training in line with standards.
  • Upload certification records and inspection reports to BIStrainer for audit readiness.

Fire Extinguisher Management

  • Maintain a complete and current list of all fire extinguishers in vehicles, sea cans, shops, and job sites.
  • Coordinate monthly inspections and annual servicing.
  • Ensure extinguisher records (inspection tags, service logs) are documented in BIStrainer and tied to asset/location IDs.

Welding Equipment & Personnel Support

  • Oversee the deployment and tracking of welding trucks, machines, and consumables.
  • Ensure welders and equipment meet safety, calibration, and certification standards.
  • Upload calibration certificates and maintenance records to BIStrainer.

Sea Can Storage Units

  • Maintain an inventory and log of sea can storage containers at all job sites.
  • Track tool and equipment contents, security status, and restocking needs.
  • Use BIStrainer to document container locations, inspection status, and contents (where applicable).

Logistics & Deployment

  • Coordinate transportation of vehicles, welders, and sea cans between locations.
  • Ensure asset readiness and verify availability in coordination with project timelines.
  • Track asset utilization and movements.

Compliance & Documentation (BIStrainer)

  • Ensure all safety, inspection, service, and certification records are uploaded and maintained in the BIStrainer platform.
  • Use BIStrainer to monitor due dates, flag overdue certifications, and generate reports.
  • Support safety and compliance audits by ensuring BIStrainer documentation is current and complete.

Vendor & Contractor Coordination

  • Coordinate with external vendors for inspections, repairs, certifications, fire extinguisher servicing, and CVIP compliance.

· Coordinate, rental fleet vendor relationships, including negotiating terms, tracking costs, and ensuring compliance with rental agreements.

  • Ensure vendor documentation is collected and uploaded into BIStrainer.
