JOB POSTING

Finance Clerk

(Band Member Preferred)

Program: Administration

Reports To: Finance Manager

Term of Employment: Permanent Full –Time

Wage: Level 4 ($25.44 - $31.63 per hour)

Hours of Work: 37.5 hours per week (8:30a.m. – 4:30p.m.)

This full-time permanent position requires a highly organized individual to provide support within the Finance Department. You will perform financial support duties and implement tasks as assigned.

Financial Duties - Accounts Payable

· Receive / process Program “Bills for Payment” and MedTrans reimbursements on a weekly basis (currently).

· Ensure that supervisory approval limits are being followed, BCRs are attached as necessary, invoices are properly coded, PO is attached, and that the invoice reflects our last payment prior to processing invoice (invoice reflect an amount owing that has already been processed).

· Process program cheques weekly. Maintain sequential cheque log for issuance and signing of cheques. Distribute cheques for signature. Ensure cheque signers have signed the log after approval.

· Deliver cheques to receptionist identifying cheques for pickup and cheques to be mailed.

· Review vendor recurring payments for potential of direct withdrawal by vendor with electronic payment details (invoice etc). Examples utilities esp. Hydro, GB Fire & Safety (Multiple invoices for locations). Manual cheque template entry in Adagio for direct withdrawals

· Forward all vendor requests for bank payment information changes to Finance Manager.

Accurately input various financial documents (Journal Entries, invoices, Cash Receipts EFT payments) into Adagio AP, GL, AR to support the monthly Adagio accounting process

As part of ongoing audit prep support, scan all invoices over $5K and e-file in accounting folder on Server. Assist with audit process by providing general support, pulling invoices, copying documents etc.

· Ensure security of all financial documents

· Advise supervisor of any issues with respect to financial duties

REQUIREMENTS

Education and Experience: Post-secondary certificate in related field and one (1) year experience in similar role OR High School diploma/equivalent with some experience in similar role

· Experience working with a First Nation or Indigenous organization would be an asset

Knowledge, Skills & Abilities:

· Working knowledge of general office procedures and general office equipment

· Working knowledge of the payables in a computer accounting system

· Working knowledge of Microsoft Office software (Excel, Word) and ability to learn various databases

· Perform routine mathematical calculations accurately

· Ability to maintain attention to detail while multitasking with tight deadlines

· Adagio experience would be considered an asset

Designations, Licences & Requirements:

· Recent acceptable Criminal Record Check

· Ontario Class G Driver’s licence would be an asset

· Training and Certification in WHMIS 2015, Workplace Harassment & Violence Training, COVID-19 Health & Safety Training, Occupational Health and Safety Training for Workers, Health & Safety Overview

· Working knowledge of Adagio Accounting Package, for G/L, A/R, A/P or similar
