The Role

We're looking for a Scheduler / Client Coordinator to plan, optimize, and run our inspection schedules with precision and care, and become a driving force behind how we deliver service.

You'll be a central point of contact between our customers, technicians, and subcontractors: keeping the work flowing smoothly today while helping us figure out how it should flow tomorrow.

What You'll Do

  • Build and maintain inspection schedules using BuildOps (our FSM platform) alongside the proprietary systems we've developed in-house.
  • Balance the moving pieces: regulatory requirements, customer needs, technician availability, geography, and priority, routing work efficiently.
  • Keep everyone in sync, maintaining steady communication with technicians and office staff and heading off issues before they become problems.
  • Keep clients informed and confident with proactive check-ins, service updates, and schedule adjustments.
  • Stay on top of the details: monitor service efficiency, keep records accurate, and coordinate with the shop on parts so everyone shows up prepared.
  • Support bid proposals with accurate inspection schedules, and help refine how scheduling actually works.

What We're Looking For

  • Minimum 2 years in scheduling, dispatch, or client coordination.
  • Strong organization and time management — you keep many plates spinning without dropping them.
  • Genuinely comfortable with software and quick to learn new systems.
  • Sharp attention to detail and the ability to make sense of complex schedules.
  • Excellent communication skills across multiple teams, and composure under deadline pressure.
  • Bonus: experience in fire protection or field-service trades, familiarity with FSM/CRM tools, or a natural eye for inefficiency.
