At Rayleigh Solar Tech, we are pioneering advancements in next-generation solar technology. We are looking for a Workplace Operations Manager who thrives in a fast-paced, high-growth environment and is eager to support our leadership team in achieving our ambitious goals.

As a Workplace Operations Manager you will be the first face that employees and guests see when they enter our facility. Reporting to the COO, you will be a key member of Rayleigh's mission control team. You and your team will make sure everything runs smoothly and ensure Rayleigh's technical team has the support they need to succeed.




Responsibilities

HR, Immigration and Corporate Administration

  • Provide corporate document management and administrative support to the COO, HR, and Accounting teams, including organizing shared drives, maintaining records, and supporting audits or reviews as needed

  • Serve as the starting point for employee questions

  • Own Rayleigh's Co-op student hiring program, including supporting supervisors through the hiring process, securing funding for students, and coordinating student onboarding and offboarding every four months

  • Interface with external HR consultants (UpTreeHR) to support recruiting and other HR activities

  • Arrange staff training sessions, lunch and learns, and other educational events

  • Become Rayleigh's go-to event planner for team building events, holiday parties, board meetings, investor tours, and other special events

  • Work with legal council to ensure all employees obtain and maintain valid work permits, including crafting of support letters, tracking work permit application steps, and preparing LMIAs. In addition, support employee PR applications when needed.

Facilities and Tenant Support

  • Serve as the on-site administrative point of contact for all tenants at the facility
  • Work closely with the Facilities Manager to support building operations and shared systems, including access control, badging, and shared space booking
  • Coordinate and track coffee, kitchen, and office supply inventory and restocking
  • Provide administrative oversight and coordination for contractors
  • Track staff time spent on activities that are billable to subtenants and support reporting as required

Safety and Operations Administration

  • Provide administrative and coordination support for the safety program, including tracking safety certifications, coordinating PPE inspections, scheduling safety training, and maintaining related records
  • Coordinate safety and operations meetings, including scheduling, agenda support, minute taking, and circulation
  • Track and coordinate required annual inspections for the facility and shared equipment such as forklifts, sprinkler systems, fire alarms, and fire extinguishers
  • Maintain inspection records, certifications, and related documentation in designated systems or shared drives



Qualifications
  • Proven experience in office administration, stage management, program management, guest services, event planning, or another role where folks rely on you to make things happen
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Adaptability, prioritization, and clear decision-making
  • Excellent communication skills, patience, and an approachable demeanor
  • Strong attention to detail, particularly with documentation and record keeping
  • Proficiency with common office tools such as Microsoft Office or Google Workspace

Nice to have:

  • Experience using HRIS software (bonus points if it's ADP)
  • Familiarity with the Nova Scotia Labour Standards Code
  • Formal education in business administration, public relations, or human resources
