Starsky Fine Foods is looking to hire a Maintenance Coordinator for its three (3) store locations.

Position Overview

The Maintenance Coordinator is responsible for overseeing, planning, and coordinating all maintenance activities across multiple grocery store locations. This role ensures that store facilities, equipment, and systems are maintained in excellent working condition through effective scheduling, preventive maintenance programs, and timely execution of repairs.

The Maintenance Coordinator will work closely with the company's in-house Handyman, coordinating daily maintenance activities, providing guidance and support, and ensuring maintenance work is completed efficiently and to company standards. This is not strictly a coordination role—it requires someone who is willing to roll up their sleeves and get the work done. The successful candidate will be expected to provide regular hands-on support, assist with troubleshooting and repairs, and lead by example while working alongside the in-house Handyman.

The ideal candidate will have strong project management experience, a technical background in mechanical, electrical, HVAC, or refrigeration systems, and the ability to manage contractors while also providing hands-on support on a regular basis.

Key Responsibilities

Maintenance Planning & Coordination

  • Develop, implement, and oversee a preventive maintenance program for all store locations, ensuring compliance with health, safety, and operational standards.
  • Schedule and prioritize work orders to minimize downtime and disruption to store operations.
  • Monitor open work orders, track progress, and ensure timely completion of tasks.
  • Coordinate emergency repairs and provide hands-on support as necessary.
  • Work closely with the in-house Handyman by assigning and prioritizing maintenance work, providing technical guidance, and assisting with repairs and maintenance activities on a regular basis.
  • Coordinate maintenance activities between the in-house Handyman and external contractors to ensure work is completed safely, efficiently, and on schedule.

Project Management

  • Lead and manage maintenance projects, including store renovations, system upgrades, and equipment installations.
  • Prepare project timelines, budgets, and status reports for senior management.
  • Ensure all projects are executed safely, on time, and within budget.

Contractor & Vendor Management

  • Source, negotiate, and manage relationships with contractors, vendors, and service providers.
  • Oversee contractor performance to ensure quality, compliance, and timely delivery of services.
  • Assist with procurement of equipment, tools, and supplies as needed.

Technical Expertise

  • Apply knowledge of mechanical, electrical, refrigeration, HVAC, plumbing, and general building systems to assess issues and recommend solutions.
  • Troubleshoot and resolve technical issues, escalating to external experts where necessary.
  • Perform hands-on troubleshooting, repairs, and preventive maintenance across all store locations as required.
  • Provide guidance and technical support to the in-house Handyman and store staff on equipment use and maintenance practices.

Administration & Reporting

  • Maintain accurate records of maintenance activities, costs, and equipment lifecycles.
  • Analyze maintenance data to identify trends, cost-saving opportunities, and areas for improvement.
  • Prepare and present regular reports to senior management on maintenance status, project progress, and compliance.

Qualifications & Skills

Education/Experience:

  • Diploma or degree in Mechanical, Electrical, Facilities Management, or a related technical field.
  • Minimum five (5) years' experience in maintenance coordination or facilities management, preferably in retail, grocery, or multi-site environments.
  • Proven project management experience (PMP certification is an asset).

Technical Knowledge:

  • Strong understanding of refrigeration, HVAC, electrical, plumbing, mechanical, and general building systems.
  • Demonstrated hands-on troubleshooting and repair experience.

Skills:

  • Excellent organizational and time-management skills.
  • Strong problem-solving ability and attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines under pressure.
  • Effective communication and interpersonal skills to work with store staff, the in-house Handyman, contractors, and senior management.
  • Proficiency in maintenance management software (e.g., CMMS) and Microsoft Office Suite.

Other Requirements:

  • Valid driver's license and ability to travel to store locations as required.
  • Willingness to work flexible hours, including evenings or weekends, in case of urgent maintenance needs.
  • This position requires a hands-on leader who is willing to roll up their sleeves and actively participate in maintenance and repair work while coordinating maintenance activities across all three store locations.
  • Knowledge of the Polish language is considered an asset.
