What will you do?
This role is responsible for ensuring accurate and compliant commercial invoicing, export documentation, and dangerous goods shipments for both domestic and international deliveries. The position safeguards adherence to all government regulations and export control requirements while supporting efficient shipment coordination through contract review, pricing validation, and freight management. It also drives continuous improvement across invoicing and shipping processes, supports delivery performance, and maintains data integrity within ERP systems and ISO standards. Success in this role requires strong analytical capability, attention to detail, and the ability to operate effectively in a fast-paced environment.
- Prepare and validate commercial invoices and export documentation in compliance with regulatory and export control requirements.
- Ensure dangerous goods shipments meet applicable regulatory and safety standards (e.g., IATA, IMDG).
- Review customer contracts to confirm requirements, pricing accuracy, and adherence to commercial terms.
- Calculate and validate freight rates, Incoterms, and provide quotations for freight and specialized packaging.
- Verify pricing, discounts, and perform accurate currency conversions.
- Coordinate shipment activities and communicate delivery status, product availability, and updates to internal and external stakeholders.
- Manage manual shipments (including internal orders, component resale, and nonstandard customer orders) in SAP to ensure accurate recordkeeping and compliance with ECC screening requirements.
- Monitor orders shipping and backlog to support on-time delivery KPIs and proactively identify risks to performance targets.
- Drive continuous improvement initiatives across invoicing and shipping processes.
- Ensure the accuracy of shipping and invoicing master data (including customer records and Incoterms) in SAP to enable timely billing, support performance KPIs, and maintain ISO compliance.
- Support internal and external audits by preparing required documentation packages.
- Perform monthly invoicing procedures and ensure compliance with any audit
- 2–5 years of experience in a supply chain, logistics, or shipping environment.
- Strong knowledge of export regulations, documentation requirements, and dangerous goods compliance.
- Dangerous goods certification (e.g., IATA, IMDG, or equivalent).
- Experience with freight calculations, Incoterms, and international shipping processes.
- Intermediate experience with ERP systems (SAP preferred).
- Advanced proficiency with Microsoft Office tools (Excel, Word, Outlook) and Adobe.
- Strong analytical skills with a high level of accuracy and attention to detail.
- Ability to work independently, manage competing priorities, and meet deadlines in a fast-paced environment.
- Strong communication, interpersonal, and customer-facing skills.
- Demonstrated problem-solving ability and continuous improvement mindset.
- Understanding manufacturing processes and product structures is considered an asset.
- Experience with customs documentation and HS classification
- Knowledge of export control regulations (e.g., EAR, ITAR, Canadian export controls)
What will you need to succeed?
- Post-secondary education in Business Administration, Supply Chain Management, or a related field (or equivalent experience).
- Foundational knowledge of contract law and commercial terms.
- Working knowledge of international shipping regulations and compliance requirements.
- Advanced understanding with Inco terms and their impact on shipment scheduling and liability.
- Experience with SAP modules related to Order Management, Shipping, or Billing (SD module preferred)
- Familiarity with trade compliance or export documentation tools
Salary is commensurate with experience, and ranges between $70,000 CAD - $80,000 CAD, excluding benefits.
