Full job description

CRUX Psychology is seeking a qualified and highly organized full-time Executive Assistant to provide administrative support to progress important projects and to maximize growth. Reporting directly to Dr. Simon Sherry, the successful candidate will demonstrate excellent project management skills, a positive attitude, and a strong desire to learn new tasks. The Executive Assistant must be punctual and reliable and must be able to work independently with minimal supervision.

The successful candidate will demonstrate excellent customer service, strong written and verbal communication skills, and a willingness to learn new systems and processes. The ideal candidate is punctual, reliable, adaptable, and able to work both independently and collaboratively in a fast-paced clinical environment.

Previous medical or mental health office experience is preferred but not required. Experience with Google Workspace, spreadsheets, databases, clinical software, workflow tools, and interest in and openness to artificial intelligence is essential to this position.

Executive Assistant Duties

  • Draft letters, emails or other correspondence
  • Assist with clinic growth plans
  • Support psychologist recruitment efforts
  • Schedule appointments and prepare background material for meetings
  • Research topics as directed
  • Complete personal, family-related, and business-related errands
  • Manage personal emails, daily agenda and google calendar when appropriate
  • Back up support for CRUX Office Administrator
  • Answer telephone and email inquiries, relay messages accurately, and complete follow-up communication as required.
  • Handle highly sensitive personal and clinical information with confidentiality, professionalism, and discretion.
  • Assist with general office administration, including incoming and outgoing mail, equipment coordination, and other operational duties as needed.
  • Attend meetings and support continuous improvement of administrative systems and processes.
  • Use and integrate AI to complete duties.
  • Other duties as assigned

Qualifications

  • Minimum two years of experience in customer service, administration, or office support, preferably in a clinic, health care, legal, or professional office environment.
  • A University degree or college diploma in a relevant discipline is preferred.
  • Proficiency with Google Workspace and other common business software applications.
  • Strong written and verbal communication skills.
  • Excellent organization skills and ability to manage multiple tasks under tight deadlines.
  • Strong attention to detail and accuracy.
  • Ability to work independently while also collaborating effectively with a team.
  • Trustworthy, discreet, and professional in handling confidential information.
  • Thoughtful, conscientious, kind, and client-centered in approach.
  • Motivated, dependable, and open to learning new tools and systems.

Hours and Salary:

35 hours per week at $18-$23 per hour, depending upon experience.
