The Role We are hiring an Executive Assistant to support our President and VP directly. This is a high-impact, high-trust role at the heart of a fast-moving executive team. You will be the person who keeps operations organized, communications on point, and leadership running at full capacity. Key Responsibilities - Manage complex scheduling, calendars, and travel coordination for the President and VP - Prepare, review, and organize corporate documents, reports, contracts, and correspondence - Support tender and proposal coordination — tracking deadlines, compiling submissions, liaising with project teams - Assist with payroll administration and HR documentation as required - Draft and manage internal and external corporate communications on behalf of leadership - Maintain organized digital filing systems and document management protocols - Track action items, meeting notes, and follow-ups to ensure executive commitments are met - Liaise with clients, government contacts, subcontractors, and internal teams on behalf of leadership Qualifications & Requirements - Post-secondary degree required (Business Administration, Office Administration, or related field preferred) - Minimum 5 years of experience in an Executive Assistant or senior administrative role - Experience in the construction, infrastructure, or related industry is a strong asset - Advanced proficiency with Google Workspace (Docs, Sheets, Calendar, Drive, Gmail) - Comfortable with project management and collaboration tools - Familiarity with AI productivity tools and an eagerness to adopt new technology - Exceptional written and verbal communication skills - Demonstrated ability to handle confidential information with discretion and professionalism What Traxion Offers - Competitive salary of $60,000–$75,000 based on experience - A front-row seat at a high-growth, technology-forward company - Direct access to and support from executive leadership - A dynamic, collaborative work environment where your contributions are visible and valued - Opportunities for career advancement as the company continues to scale Traxion Construction is an equal opportunity employer.
