We are looking for an Event Coordinator who is highly detail oriented, organized, and able to work confidently under pressure. Position: Event Specialist/Coordinator/Manager/Planner

Salary: $60,000 to $80,000 + Annual Performance Bonus

Expected Start Date: As soon as possible

Position Responsibilities and Duties

· Develop, organize, and oversee comprehensive event plans, ensuring all timelines, tasks, and deliverables are executed with precision.

· Coordinate multiple events simultaneously, maintaining structured workflows and strong time management across overlapping priorities.

· Adapt event plans swiftly in response to unexpected changes, proactively implementing contingency strategies to protect event quality.

· Demonstrate exceptional attention to detail by ensuring every logistical, aesthetic, and operational element is flawlessly executed.

· Conceptualize and design creative, engaging, and memorable event experiences that align with organizational goals and brand identity.

· Communicate effectively with clients, internal teams, and external vendors through clear, professional verbal and written communication.

· Build and maintain strong relationships with stakeholders, fostering trust, collaboration, and a client centered event approach.

· Lead support teams with confidence by delegating tasks, guiding staff, and making sound decisions in high-pressure or time-sensitive situations.

· Resolve unexpected challenges quickly and creatively, maintaining composure and ensuring seamless continuity during events.

· Manage event budgets responsibly, ensuring expenditures remain within approved limits while maximizing value and quality.

· Conduct post event evaluations to identify improvements, strengthen processes, and enhance future event execution.

· Assist managers and property managers in third party rentals of our venue and must adhere to safety and security policies and procedures.

Qualifications and Other Requirements:

· This candidate should be highly motivated, dedicated, and passionate about delivering impressive, organized, and high converting events.

· This individual must be able to remain calm under pressure and execute event goals effectively while working within tight budgets.

· This candidate should be a collaborative team player who can work cross divisionally to support the overall success of each event.

· Event planners should master traits like organization, creativity, flexibility, and attention to detail to successfully manage events.

· Essential skills also include strong communication and leadership for working with clients and teams, budget management for financial control, and resilience to handle unexpected challenges that arise during planning and execution.

· Must have a Diploma or Degree in Event Management (or relevant related field) or is a Certified Special Events Professional (CSEP).

· Proven experience in hospitality or event planning/coordinating roles.

· Minimum 3 years of progressive experience in executing corporate events.

· Experience working with colleagues in graphic design, sales, marketing and advertising.

· Excellent technology skills in using all Microsoft Suite Software’s including, MS Word, MS PowerPoint and MS Excel, Outlook, Google Chrome, etc.

· Excellent oral and written communication skills; ability to express ideas and procedures clearly and concisely; ability to work with highly sensitive information

· Goal-Driven Focus: Their desire to hit targets and/or completed tasks/ assignment/ projects that outweighs any temporary hesitation or fear of social awkwardness

· Assertive Communication: They initiate conversations effortlessly and clearly articulate value propositions without sounding aggressive or pushy.

· Resilience to Rejection: They do not take "no" personally. Instead, they view objections as natural steps in the workplace to learn and perform better

· High Empathy: They are socially bold but highly perceptive, allowing them to read body language, actively listen, and adapt their pitch to the needs of team members or clients

· Natural Curiosity: They ask deep, probing questions to uncover pain points because they genuinely enjoy learning about people and solving problems.

· Unwavering Confidence: They project authority and belief in their service/product, which instantly builds trust and credibility with prospects and team.

· Effective communication involves conveying your message clearly, concisely and accurately with an advanced level of the English Language

· Technical Proficiency, must type a min of 50 words/minute and advanced in excel with MS Word, MS PowerPoint and MS Excel, Outlook, Google Chrome, etc.

· Resides in close proximity to the office in Vaughan (preferred).

· Must own a vehicle and have full access at all times

· Mandatory attendance at all events.

Work Schedule and Conditions:

· Monday, Wednesday, Friday & Saturday -- 9:00 AM to 5:30 PM

· Tuesday, Thursday – 12:30 PM to 9:00PM

· Saturday shifts may be switched with Wednesday from time to time.

· Flexibility to work additional hours to meet required deadlines up to 12+ hour days required on day of the events.

· Daily pressure to meet outreach targets, handle objections, and convert leads into event registrations.

· Must be comfortable sitting and speaking on the phone for extended periods.

· Must be able to lift up to 50 lbs.

· Regular meetings with direct reporting manager to review daily/weekly performance, event status, and conversion goals.
