About Us:

Avela Catering & Events is a Vancouver based catering and events company focused on elevated cuisine and personalized service. From intimate dinners and milestone events, to corporate drop-offs and large-scale activations, our approach is to build curated hospitality experiences. We deliver culinary excellence, refined service, and attention to every detail.

We are growing our Sales & Event Coordinator team. This role has a direct impact on company growth through sales performance, client experience, and successful event planning. We are looking for someone organized, proactive, client focused, and accountable for results.

Job Summary:

The Sales & Event Coordinator is responsible for managing both outbound and inbound sales, building proposals, maintaining client relationships, and coordinating events from initial inquiry to completion. This role supports revenue growth while ensuring a smooth, professional client experience and well organized event planning process.

Key Responsibilities:

  • Manage outbound and inbound sales activity to generate and convert leads
  • Respond to client inquiries in a timely and professional manner
  • Create clear, accurate, and compelling client proposals
  • Manage ongoing client communication from inquiry through event completion
  • Coordinate event logistics including timelines, rentals, staffing, and client details
  • Work closely with kitchen and operations teams to ensure accurate execution
  • Maintain organized records of leads, proposals, and booked events
  • Follow up with clients to support relationship building and repeat business
  • Support overall sales growth and operational consistency

Qualifications:

  • 2-3 years of proven experience in catering sales and event coordination
  • 2 years of experience in the hospitality industry ideally within catering and events
  • Proficiency with catering sales and event coordination productivity software, including customer pipelines
  • Past experience with Total Party Planner is a strong asset
  • Strong client communication and relationship management skills
  • Highly organized with strong time management ability
  • Able to manage multiple projects and deadlines simultaneously
  • Comfortable working independently and as part of a team
  • Strong attention to detail and accountability for results
  • Proficient with technology and digital communication tools
  • Professional, reliable, and solutions focused

Schedule & Performance Expectations:

  • Part-time: 20-25 hours per week (1 open position)
  • Full-time: 35-40 hours per week (1 open position)
  • In-office only, hybrid scheduling options are not available
  • Performance expectation includes maintaining a minimum 50% conversion rate

Compensation:

  • Hourly wage of $26 to $30 depending on experience
  • Potential for salary based on full-time schedule and performance metrics
  • 2% commission on closed events
  • Extended health benefits plan after 3 months of employment
