Position Overview

We are looking for a warm, outgoing, and people-first individual to join the Visage team as our Patient Care Coordinator. This is a full-time, client-facing role that sits at the very heart of the Visage experience — you are often the first and last person our patients interact with, and that matters deeply to us.

We aren't looking for a specific degree or credential. We're looking for someone who genuinely loves people, communicates with warmth and confidence, and takes pride in making every client feel seen, heard, and cared for. The right person will grow into this role naturally — we will provide full training on our systems, treatments, and protocols.

Key Responsibilities

  • Manage all inbound patient communications including calls, texts, and emails with professionalism and warmth
  • Book and coordinate appointments across all treatment categories including surgical consultations
  • Conduct patient consultations and assist in developing personalized treatment plans alongside the clinical team
  • Educate clients on treatments, products, and skincare regimens with confidence and clarity
  • Drive retail and medical-grade product recommendations in an honest, client-centred way
  • Manage patient records and scheduling accurately within our EMR system
  • Create social media content including before/after documentation, current trends, and client education posts
  • Handle administrative tasks and ensure the front of clinic runs smoothly and efficiently
  • Maintain a clean, organized, and welcoming clinic environment
  • Collaborate closely with the clinical and medical team to ensure seamless patient care
  • Stay current with our treatment offerings, technologies, and the latest aesthetic trends through ongoing learning and professional development
  • Travel with the Visage team to out-of-town events, conferences, and training opportunities as they arise
