Full job description

Citrus Medical Centre is a thriving, multi-disciplinary healthcare clinic in Etobicoke, home to a team of 20 Family Physicians, 3 Specialists, and 9 Allied Health Providers. We are dedicated to improving patient outcomes by combining quality care, innovation, and operational excellence.

We are seeking an Assistant Clinic Manager to support clinic operations and work closely with the Medical Director and Head of Operations. This role is designed as a hands-on position for someone who demonstrates strong initiative, sound judgement, and a desire to take on operational challenges.

The Assistant Clinic Manager supports clinic operations across scheduling, staff coordination, systems support, and reporting. Initially, the role will focus on learning core workflows and providing operational coverage for a supervisor going on maternity leave. Over time, the successful candidate is expected to take on greater ownership of daily operations, including scheduling coordination and routine technical troubleshooting.

This role is ideal for a senior medical administrator or junior manager looking to grow into a broader clinic operations position over time, gaining hands-on experience across clinical workflows, systems, and leadership support in an environment that values thoughtful problem-solving, collaboration, and continuous improvement.

Key Responsibilities:

Clinic Operations Management

  • Support daily clinic operations including scheduling, space management, patient flow, and workflow coordination.
  • Ensure smooth daily clinic functioning by proactively identifying and resolving operational issues.
  • Implement and enforce clinic policies, procedures, and operational standards.

Team Leadership & Supervision

  • Provide leadership and operational guidance to administrative and medical support staff.
  • Coordinate staffing coverage, scheduling adjustments, and workflow prioritization.
  • Handle routine staff questions and concerns professionally, escalating when appropriate.
  • Foster strong working relationships across teams and support a collaborative clinic culture.

Systems & Technical Operations

  • Support day-to-day operation of clinic systems including Telus PS Suite, Ocean, Jane, and Pomelo Health Myself.
  • Independently troubleshoot and resolve routine technical and system issues impacting clinic operations.
  • Support staff training on core systems, workflows, and best practices.
  • Maintain and update operational documentation and standard operating procedures.

Reporting & Administrative Oversight

  • Maintain and update operational reports related to scheduling, billing accuracy, and clinic performance using tools such as Microsoft Excel, Word, and Google Sheets and Docs.
  • Monitor data quality and review reports to identify trends, risks, or inefficiencies requiring follow-up.
  • Support billing reconciliation and administrative tracking in accordance with established controls.
  • Exposure to tools such as Python, SQL, or other automation and data tools are considered an asset but not required.

Communication & Coordination

  • Serve as a reliable point of contact for operational communication within the clinic.
  • Coordinate across staff, supervisors, physicians, and leadership to support efficient clinic operations.

Qualifications:

Education

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field.

Experience

  • 3+ years of experience in a medical office, clinic operations, or senior administrative role.
  • Experience supporting scheduling, workflows, and clinic systems.
  • Familiarity with EMR and clinic management platforms (Telus PS Suite, Ocean, Jane, etc.).

Skills

  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and problem-solving skills
  • Comfort learning new systems and workflows
  • Experience with spreadsheets and basic reporting
  • Bonus: exposure to process improvement, automation, or data analysis

Job Types: Full-time, Permanent

Pay: $50,000.00-$60,000.00 per year
