Operations & Dispatch Coordinator

Kalloway Property Services

Position Overview

Kalloway Property Services is looking for an experienced Operations & Dispatch Coordinator to manage the daily deployment of our field workforce, vehicles and resources.

This is a central operations position within our company. You will work closely with our Project Managers to take planned work and turn it into an organized, executable daily schedule for our field teams.

This is not simply an administrative scheduling position. The successful candidate must understand construction and field operations well enough to recognize job requirements, construction sequencing, crew capabilities and potential scheduling conflicts before they become problems.

Your job is to make sure our crews know where they are going, what they are doing, what they need, and what vehicle they are taking before the workday begins.

Key ResponsibilitiesScheduling & Dispatch

  • Build and maintain the daily and weekly field schedule.
  • Coordinate labour requirements with Project Managers.
  • Assign technicians, carpenters and other field personnel to projects based on skills, priorities and job requirements.
  • Balance manpower across multiple active projects.
  • Adjust the schedule when emergencies, absences, delays or changing project conditions occur.
  • Communicate schedule changes quickly and clearly to affected employees and Project Managers.
  • Identify scheduling conflicts and labour shortages before they affect projects.
  • Help ensure crews are being utilized efficiently and minimize unnecessary downtime and travel.

Work Orders & PSA

  • Create and issue clear work orders for field crews through PSA/Proven Jobs.
  • Ensure work orders contain the information crews need to successfully complete their assigned work.
  • Confirm job addresses, contacts, access information, scope of work, required equipment/materials and special instructions.
  • Review upcoming work to ensure it is ready to be dispatched.
  • Maintain accurate scheduling and job information within PSA.
  • Follow up on incomplete or unclear work orders before crews are dispatched.

Construction & Restoration Coordination

  • Understand construction and restoration workflows sufficiently to schedule work in the proper sequence.
  • Recognize dependencies between demolition, drying, abatement, drywall, finishing, painting and other construction activities.
  • Understand the capabilities of individual employees and assign work appropriately.
  • Coordinate with Project Managers when scopes, timelines or field conditions change.
  • Identify situations where additional labour, subcontractors, equipment or resources may be required.

X8 / Operational Systems

  • Work within X8 and PSA/Proven Jobs as part of the company's daily operational workflow.
  • Maintain accurate scheduling, work-order and operational information within company systems.
  • Help ensure information moves correctly between the office, Project Managers and field teams.
  • Identify opportunities to improve scheduling and dispatch processes.

Fleet Coordination

  • Manage the daily allocation of company vehicles.
  • Assign vehicles based on crew and project requirements.
  • Maintain visibility of who has each company vehicle and where it is assigned.
  • Coordinate vehicle availability when employees are absent, on call or changing assignments.
  • Track vehicle maintenance requirements, inspections, registrations and scheduled servicing.
  • Coordinate vehicle repairs and minimize operational disruption caused by vehicles being out of service.
  • Report vehicle damage and recurring issues to management.
  • Help ensure company vehicles remain clean, equipped and ready for work.

Daily Operations

  • Review the following day's schedule before the end of each workday.
  • Ensure crews have clear assignments before they begin work.
  • Act as the primary point of coordination for day-to-day field scheduling questions.
  • Respond quickly when jobs change during the day.
  • Maintain communication between Project Managers, office staff and field employees.
  • Escalate operational problems to management when necessary.

What Success Looks Like

A successful Operations & Dispatch Coordinator creates an organized field operation where:

  • Crews know their assignments before the workday starts.
  • Work orders are complete and understandable.
  • The right employees are assigned to the right work.
  • Project Managers aren't spending their day chasing crews or solving preventable scheduling problems.
  • Vehicles are available where they are needed.
  • Schedule changes are communicated immediately.
  • Labour downtime is minimized.
  • Scheduling conflicts are identified before they become emergencies.
  • Management has clear visibility into where people and vehicles are deployed.

Qualifications

Required:

  • Experience in construction, restoration, property maintenance or a similar field-service environment.
  • Strong understanding of construction workflow and sequencing.
  • Experience coordinating multiple employees, crews or projects simultaneously.
  • Excellent organizational and problem-solving skills.
  • Strong verbal and written communication skills.
  • Comfortable working in a fast-moving environment where priorities can change throughout the day.
  • Strong computer skills and ability to work within scheduling and project-management software.
  • Valid driver's licence.

Strongly Preferred:

  • Previous restoration-industry experience.
  • Experience with PSA/Proven Jobs.
  • Experience with X8.
  • Previous experience as a construction coordinator, dispatcher, field coordinator, project coordinator or restoration coordinator.
  • Experience managing or coordinating a commercial vehicle fleet.

Ideal Candidate

You are highly organized but also understand that construction rarely goes exactly according to plan.

You can look at a schedule involving multiple projects and crews and quickly determine what needs to happen next. You understand that different employees have different skill sets and that simply having an available person does not necessarily mean they are the right person for the job.

When something changes at 8:30 in the morning, you don't panic—you reorganize the resources, communicate the change and keep the day moving.

You are comfortable holding people accountable for providing the information you need, following up when something is missing and making decisions within your area of responsibility.

Most importantly, you take ownership of the schedule. If there is a problem tomorrow, you want to know about it today.

Pay: $65,000.00-$80,000.00 per year
