Medical Administrative Assistant / Medical Receptionist (Bilingual) – Specialist Clinic

Location: Ottawa, ON
Job Type: Full-time
Work Model: In person with potential to adjust to mostly remote
Expected Hours: Full-time
Compensation: $26–$28/hour (based on experience)

About the Clinic

An established and efficient specialist clinic in Ottawa is seeking a warm, organized and professional Medical Administrative Assistant to join the team. Bilingual (English/French) essential.

The role currently requires in-person support, but with the opportunity to shift to mostly remote. The ideal candidate is reliable, patient-focused, and comfortable managing a dynamic medical environment.

Responsibilities

Patient Communication & Scheduling

  • Answer phone calls, monitor voicemails, emails, and secure messages
  • Schedule and confirm consultations, follow-ups, and procedure appointments
  • Professional communications with patients
  • Provide appointment instructions and preparation information for procedures.

Referral & Documentation Management

  • Process incoming referrals, faxes, scanned documents, and reports
  • Track referral status and contact patients for booking
  • Upload documents and maintain accurate records within the EMR

Coordination & Workflow Support

  • Communicate with pharmacies, primary care providers, and specialists
  • Manage cancellations, rebooking, and waitlists
  • Monitor results and ensure timely routing of documents to the physician

In-Person Clinic Duties

  • Greet and check in patients
  • Assist with form completion and patient flow
  • Support clinic operations during in-person clinic days

Qualifications

  • Bilingual essential
  • Experience in a medical or healthcare administrative role is an asset
  • Strong communication and patient service skills
  • Experienced with computers
  • Experience with Accuro Electronic Medical Record software required
  • Reliable, detail-oriented, and able to multitask
