Medical Receptionist

Full-Time Receptionist (11:00 a.m. – 7:00 p.m.)

Carleton Sport Medicine Clinic is seeking a full-time Receptionist to join our exceptional team. This position is Monday to Thursday (some Fridays), 11:00 a.m. to 7:00 p.m.

Located on the campus of Carleton University in the heart of Ottawa, we are a well-established Sport Medicine and Physiotherapy Clinic with an outstanding reputation in Ottawa's medical community.

Position Summary

The reception team plays an essential role in ensuring the smooth and efficient flow of clients through our busy Sport Medicine Clinic. The successful candidate will provide exceptional front-line service while supporting daily clinic operations.

Key responsibilities include:

  • Greeting and assisting clients in a professional and welcoming manner
  • Answering phones, taking accurate messages, and prioritizing urgent calls
  • Client intake and registration
  • Booking and managing appointments
  • Processing payments, creating invoices, and following up on outstanding balances
  • Preparing and maintaining electronic medical records
  • Maintaining confidentiality and using discretion with all patient information

QualificationsEssential:

  • Completion of a Medical Administration course (including medical terminology and pharmacology) or related experience
  • Excellent verbal communication and customer service skills
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Professional, pleasant, flexible, and dependable approach to work
  • Demonstrated ability to maintain confidentiality and exercise discretion
  • Ability to handle financial transactions accurately

Desirable:

  • Administrative experience in a medical clinic, physiotherapy clinic, or similar healthcare setting
  • Experience with scheduling systems and EMR platforms such as Accuro and Jane
  • Familiarity with OHIP billing is an asset
  • Bilingual an asset (French / English)

Additional Details

  • Position: Full-Time Permanent
  • Hours: Monday to Thursdays (occasional Fridays) 11:00 a.m. – 7:00 p.m.
  • Starting Salary: $19.00–$20.00 per hour, based on experience and responsibilities
  • Work location: On-site at Carleton University
  • Remote work: Not available
  • Transportation: Accessible by Bus and O-Train
  • Parking: Paid parking available on campus
  • Group RRSP: Available after probation period of 3 months.
