Position: Health and Safety Coordinator

Location: Newmarket, Ontario / Office-Based with Field Visits / Some Travel Required

Role focus: Day-to-day health and safety administration, documentation and records control, and coordination support for field-based exploration programs. This is an entry-to-intermediate role; technical and airborne-specific safety knowledge will be developed on the job.

This role is designed for someone early in their health and safety career who is well organized, detail-oriented, and eager to learn. No aviation or airborne survey background is required. The successful candidate will be trained on our operations, systems, and procedures, and will work closely with experienced safety and operations staff.

Position Summary

Reporting to the Global Operations and Safety Manager, the Health and Safety Coordinator provides hands-on support to the company’s health and safety program across office and field activities. The role is centred on coordination, administration, documentation, and follow-up: keeping records current, tracking training and certifications, maintaining the document control system, assisting with inspections and incident follow-up, and helping field teams find the information they need.

The role suits a candidate with a strong occupational health and safety foundation who wants to build experience in a regulated, field-driven operating environment.

Scope of the Role

The Health and Safety Coordinator supports line management in managing health and safety. The position does not replace the responsibility of operational management and supervisors for the safe planning, direction, and execution of work, and it does not carry responsibility for technical or aviation matters, which rest with appropriately qualified personnel.

Where aviation, technical, or specialist operational matters arise, the Coordinator’s role is to coordinate, document, and follow up rather than to determine outcomes. Decisions on those matters are made by qualified specialists, operational management, or the Global Operations and Safety Manager.

The position is also intended to build capability and ownership within the safety system. With training, mentorship, and experience, the Coordinator is expected to manage routine safety processes and day-to-day administration independently within a reasonable timeframe, escalating matters that require operational judgement, technical expertise, or a management decision.

Key Responsibilities

Working under the direction of the Global Operations and Safety Manager, you will provide support across compliance administration, documentation, field program coordination, and continuous improvement. Responsibilities will include:

Health and Safety Compliance Support

• Support day-to-day compliance with occupational health and safety legislation, company policies, and client safety requirements.
• Research and summarize applicable regulations, standards, and client requirements, and flag anything that may affect company procedures or training.
• Track legislative updates and regulatory bulletins, and bring relevant changes to the attention of the Global Operations and Safety Manager.
• Help prepare materials for client safety questionnaires, prequalification submissions, and contractor compliance requests.
• Maintain compliance registers, permits, certificates, and other records so they remain current and readily available.

Documentation, Records, and Document Control

• Draft, format, and update procedures, work instructions, forms, checklists, toolbox talks, and safety bulletins.
• Assist the Global Operations and Safety Manager with revisions to manuals and other controlled documents.
• Maintain document version control, review schedules, approval records, and controlled distribution.
• Keep the health and safety system organized, current, and audit-ready in both digital and hard copy.
• Help translate technical or regulatory language into clear, field-ready instructions.

Field and Operational Support

• Support the safe planning and execution of field programs in remote and logistically complex environments.
• Coordinate the preparation of pre-mobilization safety packages, site orientations, and emergency response information.
• Assist field crews, project managers, and contractors with completing hazard assessments, permits, and daily safety paperwork.
• Help verify that crews have the required training, certifications, personal protective equipment, and first aid supplies before mobilization.
• Collect, review, and file field safety documentation, and follow up on missing or incomplete submissions.
• Assist with practical arrangements for communications checks, fatigue management, hygiene, environmental hazards, and site access rules.
• Travel occasionally to operational bases and field sites to carry out routine inspections within the scope of your training and competence, support crews, and observe procedures in practice.

Safety Management System, Incidents, and Risk

• Support the ongoing administration of the company’s safety management system and related risk programs.
• Log incidents, near misses, and hazard reports, and support investigations, root cause reviews, and the collection of witness statements under the direction of the Global Operations and Safety Manager.
• Provide coordination, documentation, and follow-up support to root cause reviews and corrective action planning. Investigation conclusions, root cause determinations, and corrective actions are set by the investigation lead and management, particularly where aviation, technical, or specialist operational matters are involved.
• Track corrective and preventive actions assigned by management through to closure, and follow up with action owners on due dates.
• Assist with the preparation of risk assessments, safety statistics, and periodic reporting for management review.
• Serve as a member of the Joint Health and Safety Committee (JHSC), coordinate meetings, prepare agendas and minutes, and track committee action items.

Audits, Inspections, and Assurance Support

• Assist with preparation for internal and external audits, client reviews, and regulatory inspections, including gathering evidence and assembling documentation.
• Conduct routine workplace and equipment inspections within the scope of your training and demonstrated competence, and document findings and deficiencies. Technical, specialist, and aviation-related inspections remain the responsibility of appropriately qualified personnel.
• Support document reviews and basic gap checks against company standards and applicable requirements.
• Maintain the findings and action tracker, monitor closeout status, and prepare status summaries.

Training, Communication, and Continuous Improvement

• Maintain the training matrix; schedule, book, and track required training, certifications, and renewals.
• Help prepare and deliver safety orientations, toolbox talks, and awareness materials.
• Work collaboratively across departments to keep safety information accessible, consistent, and practical.
• Contribute ideas for improving forms, processes, and documentation quality.
• Build knowledge of the company’s field and airborne survey operations through training, mentorship, and on-the-job experience.
• Take on progressively greater ownership of routine safety processes and administration as competence develops, so that these are managed independently and only matters requiring operational judgement or a management decision are escalated.

Qualifications

Required

• Post-secondary education (diploma, certificate, or degree) in occupational health and safety, environmental health and safety, natural resources, mining, or a related field.
• Minimum 2 years of experience in a health and safety, compliance, quality, or operations support role. Relevant co-op, internship, or field experience will be considered.
• Working knowledge of Ontario occupational health and safety legislation and the ability to look up and apply requirements accurately.
• Strong written communication skills, with the ability to draft clear procedures, forms, and summaries.
• Excellent organizational skills and attention to detail, with the ability to manage records, deadlines, and follow-ups across multiple concurrent programs.
• Proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint or similar document management tools).
• A collaborative, service-oriented approach and the confidence to follow up professionally with field crews, contractors, and internal stakeholders.
• Willingness to learn and take direction, with a genuine interest in developing a career in health and safety.
• Sound judgement about the limits of your own training and competence, and the confidence to escalate matters that require operational, technical, or management input.
• Valid driver’s licence and passport, with the ability to travel to operational bases and field locations as required.
• Ability to obtain and maintain required security clearances, travel documentation, and site or client access authorizations.

Assets

• Experience in or exposure to mineral exploration, mining, forestry, construction, or other remote field-based operations.
• JHSC certification (Parts 1 and 2), Standard First Aid and CPR, WHMIS, or similar safety training.
• Working toward a professional designation such as CRSP, CHSC, or CRST.
• Experience supporting a safety management system, document control system, or other formal management system.
• Experience assisting with audits, inspections, or client compliance submissions.
• Any exposure to aviation-supported field operations, aerial survey work, or aviation safety frameworks is welcome but not expected; this knowledge will be developed on the job.
