ABOUT THE UPPER GRAND DISTRICT SCHOOL BOARD (UGDSB)

THE OPPORTUNITY
The UGDSB is seeking a dynamic individual to join our team in a Casual OCT (Office, Clerical, and Technical) Role. This opening is for a position on our OCT Casual Supply List. In this role, you will be responsible for providing temporary and/or short-term coverage for OCT administrative and secretarial employee absences on an as-needed basis at the Board office, or in elementary and secondary schools.
Location: All geographical areas of the Board, including North Wellington, Centre Wellington, East Wellington, Guelph, Orangeville, Dufferin County, and Shelburne.
Note: As a Casual OCT Supply Staff, you may select your preferred work locations within these regions.
FTE and Hours: While there is no guarantee of hours per week as this is a casual position, a casual employee with full availability could work full-time hours up to 35 hours per week (1.0 FTE) depending on the Board's needs.
Note: As a member of the OCT Casual Supply List, you will have the opportunity to apply for vacant permanent or temporary positions as they become available, with possible consideration over external applicants.
Hourly Pay Rate: The rate of pay varies depending on the position that is being covered; minimum hourly pay rate is $22.48 per hour, plus applicable vacation pay in accordance with the ESA; wage rate effective September 1, 2025
Start Date: As soon as possible
Board Information: 12-month position and 10-month position (yearly from September – June following the school year calendar); Casual; Office, Clerical and Technical (OCT) Union
Reporting to the Administrator, the responsibilities of the Casual Office, Clerical, and Technical Supply Staff are as follows:
Responsibilities:
- Provide excellent customer service
- Reception duties
- Perform data entry tasks including updating and maintaining databases
- Basic accounting; assistance with maintaining budget records
- Processing student attendance information
- Use of a variety of computer software (Edsembli, Microsoft Office, Google, etc.)
- Provide administrative support
- Other duties as assigned
Experience and Qualifications:
- Ontario Secondary School Diploma (OSSD) or equivalent education and experience deemed equivalent by the Board is a requirement
- 1-3 years of experience working in an office environment
- Excellent interpersonal skills with ability to function effectively with students, staff, parents, members of the public.
- Ability to work independently as well as collaboratively as a member of a team.
- Working knowledge of Microsoft Office and Google applications.
- Effective communication skills
- Ability to multitask in a fast-paced environment with frequent interruptions.
- Demonstrated ability to deal with demanding situations.
- Ability to maintain strict confidentiality and privacy of student information.
- Flexibility, patience, and the ability to work closely with the administration.
- Previous bookkeeping and budget experience is considered an asset
- Familiarity with SDS, SchoolCash Online and Edsembli database are an asset.
- First aid certification is an asset.
- Ability to speak French is an asset.
- Preference will be given to applicants with prior secretarial experience in an educational setting.
- Access to a reliable method of transportation and ability to attend specific schools.
