Fleet Management Dispatcher

We are looking for a highly organized and proactive Fleet Management Dispatcher to join our team. In this role, you will coordinate the day-to-day movement of company vehicles, schedule maintenance and repairs, and ensure our fleet operates safely and efficiently. You will work closely with drivers, vendors, and internal departments to keep vehicles on the road and minimize downtime.

Key Responsibilities

  • Coordinate the daily scheduling and dispatch of company vehicles.
  • Schedule preventive maintenance, inspections, repairs, and service appointments.
  • Monitor vehicle availability and ensure the fleet is operating efficiently.
  • Communicate with drivers regarding schedules, service requirements, and vehicle availability.
  • Coordinate with repair facilities and vendors to arrange maintenance and repairs.
  • Maintain accurate records of vehicle maintenance, inspections, registrations, and licensing.
  • Track service intervals and ensure maintenance is completed on schedule.
  • Monitor fuel usage, vehicle utilization, and fleet-related documentation.
  • Respond to unexpected vehicle issues and arrange alternative transportation when required.
  • Ensure fleet operations comply with company policies and applicable safety regulations.

Qualifications

  • Previous experience in fleet dispatch, fleet coordination, transportation, logistics, or a related field.
  • Strong organizational and time management skills.
  • Excellent communication and customer service skills.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Experience using fleet management or dispatch software is considered an asset.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Knowledge of vehicle maintenance schedules and fleet operations is an asset.
