Job Overview

We are seeking a highly organized, detail-oriented, and analytical Commercial Real Estate Listing & Research Coordinator to support our brokerage team with property research, listing management, marketing coordination, and market intelligence.

This role is ideal for someone who enjoys working with data, conducting research, creating professional marketing materials, and ensuring commercial property listings are accurate, compelling, and up to date. The successful candidate will play a critical role in supporting brokers and clients by providing market insights, maintaining databases, and coordinating listing-related activities from inception through transaction completion.

Key Responsibilities

Listing Management and Marketing

  • Coordinate the preparation and launch of commercial property listings.
  • Gather and verify property information, including zoning, ownership, tenancy, site characteristics, and financial data.
  • Create and maintain listing packages, offering memoranda, brochures, and marketing materials.
  • Manage online listings across commercial real estate platforms and company websites.
  • Ensure all property information is accurate, current, and professionally presented.
  • Coordinate photography, mapping, signage, and other marketing initiatives.
  • Post all social media content on marketing platforms.
  • Send broker mailouts.
  • Book tours for real estate agents and keep a direct line of communication with landlords to notify them of the meeting & provide tour feedback.
  • Answer call inquires for tours by phone calls, emails, and/or real estate agent/broker requests.

Research and Market Analysis

  • Conduct market research on commercial properties, market trends, rental rates, vacancy rates, and investment activity.
  • Identify comparable sales and lease transactions.
  • Prepare market reports, property profiles, and client presentations.
  • Track and analyze market activity within designated geographic areas and asset classes.
  • Maintain databases of active listings, sold properties, investors, landlords, tenants, and market participants.

Data Management and Reporting

  • Enter, organize, and maintain information within CRM and commercial real estate databases.
  • Monitor listing performance and generate activity reports.
  • Assist with compiling property financial information and investment summaries.
  • Ensure data accuracy and consistency across all systems and marketing materials.

Administrative and Broker Support

  • Provide administrative support to brokers and team members.
  • Assist in preparing proposals, presentations, and client communications.
  • Coordinate deadlines and ensure timely completion of listing-related tasks.
  • Maintain organized digital records and transaction files.
  • Support special projects and strategic research initiatives as required.

Qualifications

  • Bachelor's degree, diploma, or equivalent experience in Business, Real Estate, Economics, Geography, Marketing, Finance, Urban Planning, or a related field.
  • Strong research and analytical skills.
  • Excellent written and verbal communication abilities in English. French is an asset.
  • Advanced attention to detail and organizational skills.
  • Proficiency with Microsoft Office, particularly Excel, Word, and PowerPoint.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong problem-solving skills and initiative.
  • Experience preparing reports, presentations, and marketing materials.
  • Previous experience in real estate is an asset.

Salary

$40,000.00 to $50,000.00 per year (depending on experience)

Monday to Friday 9:00am to 5:00pm
