The Opportunity:

The Proposal & Marketing Specialist is a hands-on role responsible for developing winning proposals and supporting the planning and execution of marketing initiatives. They will lead and support strategic pursuits by managing complex proposals for construction industry tenders under tight deadlines, developing EOIs, RFQs, and RFPs. This role also plays an important part in promoting the company’s projects, industry presence, and community initiatives through coordinated marketing campaigns and engaging content.

Key Responsibilities:

Proposal Development & Coordination

· Lead and coordinate the full proposal lifecycle for EOIs, RFQs, and RFPs.

· Package and deliver final proposal/bid submissions on time.

· Collaborate with cross-functional teams to align proposal content with project goals.

· Tailor proposal content to client-specific needs and evaluation criteria, using insights from strategy sessions to craft compelling and targeted responses.

· Prepare, write, edit, and format proposal/bid sections, including proposal narratives, resumes, cover letters, executive summaries, project descriptions, and standard boiler plate responses.

· Establish, maintain and enhance the proposal content library, ensuring materials are accurate, up-to-date, and aligned with brand standards for efficient reuse.

· Develop, maintain and continuously improve proposal tools, templates, data sources and best practices.

· Analyze proposal outcomes and lessons learned to improve future strategies.

Marketing & Social Media Coordination

· Assist in planning, developing, and executing marketing campaigns across various channels including digital, print, social media, and email.

· Collaborate with internal departments to support marketing initiatives and ensure campaigns align with company objectives.

· Assist in developing marketing materials such as business cards, brochures, presentations, reports, and promotional items.

· Maintain the marketing calendar and ensure campaigns and communications are coordinated and delivered on schedule.

· Track and report on marketing KPIs, campaign effectiveness, and engagement metrics.

· Coordinate with external vendors and partners to support marketing initiatives such as photography, design, advertising, and media.

· Conduct market research to identify industry trends, opportunities, and competitor activity.

Content Creation

· Develop engaging content for social media platforms, email campaigns, and website updates.

· Write and edit marketing copy for promotional materials including announcements, advertisements, brochures, and presentations.

· Coordinate and manage the creation and distribution of newsletters, announcements, and event invitations.

· Ensure all content aligns with company brand guidelines, tone, and messaging.

· Assist in coordinating photography and videography for corporate events, project milestones, and marketing campaigns.

· Collaborate with commercial printers to produce print collateral such as brochures, flyers, posters, signage, and direct mail materials.

Digital & Website Management

· Maintain and coordinate updates to the company website to ensure information is current, aligned with marketing initiatives, and includes content such as project announcements, event promotions and company news.

· Monitor website analytics and recommend improvements to increase engagement and visibility.

Brand Management

· Oversee the creation and management of branded assets, ensuring consistency across all channels.

· Maintain and update brand guidelines and ensure adherence and consistency across internal/ external communications and all external platforms.

· Manage the inventory and distribution of branded merchandise and promotional items.

· Coordinate marketing collateral and branded materials for affiliate companies when required.

· Maintain a digital library of branded assets, photography, and marketing materials.

Duties as Required

· There may be ad hoc projects required throughout the course of employment which could involve tasks outside of regular duties and hours. Flexibility and adaptability are essential to successfully manage these occasional assignments.

Qualifications, Skills and Competencies:

· Minimum six (6) years of relevant experience in proposals, marketing, communications, or a related role.

· A post-secondary degree or diploma in Marketing, Communications, Business, or a related discipline is preferred.

· Proven ability to lead and coordinate high-profile proposals in the construction industry.

· Strong background in business development marketing within the architecture, engineering, and construction sector.

· Skilled in the management of multiple proposals simultaneously, with expertise in proposal planning, prioritization, and deadline-driven project execution.

· Deep understanding of the full proposal lifecycle (EOI’s, RFQs, RFPs).

· Advanced English business writing and editing skills, with the ability to synthesize complex information into persuasive, client-focused content under tight deadlines

· Proficient in visual design and publishing using Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office (Word, Excel, PowerPoint, Visio) to create brand-aligned proposals

· Demonstrated understanding of social media platforms and digital marketing tools, including Meta Business Suite.

· Highly organized with strong project coordination skills and the ability to manage multiple priorities and deadlines.

· Excellent written and verbal communication skills, with strong interpersonal and relationship building abilities.

· Ability to work independently and collaboratively within a team environment with minimal supervision.

· Strong attention to detail and the ability to maintain high standards of accuracy and quality in all work.

· Professional, approachable, and capable of maintaining a positive and composed attitude in a fast-paced environment.

· Demonstrates a strong work ethic, sound judgment, and a commitment to supporting company initiatives and events.

· Valid BC Driver’s License and access to a personal vehicle, with the ability to travel to meetings, events and project sites as required.
