Job Title: Medical Office Assistant Manager

Schedule: Monday to Friday
Salary: $60,000 per year
Wosler Diagnostics is a rapidly growing, multi-province diagnostic imaging company operating 18 clinics across Alberta, Saskatchewan, and Nova Scotia. We provide ultrasound, X-ray, and pain injection services with a commitment to clinical excellence, patient-centred care, and operational innovation. Recently recognized on the Calgary50 by Scale Up Canada and Calgary Economic Development, we are expanding our team and looking for driven professionals to grow with us.
We are seeking a Medical Office Assistant (MOA) Manager to oversee both virtual and onsite MOA operations across all Wosler Diagnostics locations. Based out of our Calgary Blackfoot clinic, you will lead and develop MOA teams company-wide spanning clinics in Alberta, Saskatchewan, and Nova Scotia ensuring consistent service standards, seamless patient flow, and operational excellence whether staff are working in-clinic or remotely. You will act as the operational bridge between clinical staff and management across the entire organization.
This is an ideal opportunity for an experienced MOA professional ready to step into a supervisory capacity or a current MOA supervisor looking for a high-growth environment.
Key Responsibilities:
- Supervise, schedule, coach, and performance-manage virtual and onsite MOA staff across all Wosler clinic locations
- Oversee daily front-desk and virtual reception operations including patient intake, registration, appointment scheduling, and phone management
- Ensure accurate and timely processing of requisitions, referrals, and patient documentation
- Manage patient flow to minimize wait times and optimize sonographer and radiologist schedules
- Support onboarding, training, and ongoing development of new and existing MOA staff
- Ensure standardized MOA workflows, policies, and procedures are consistently applied across all clinic locations, including privacy, health and safety, and workplace standards
- Manage and support virtual MOA team members, ensuring accountability, productivity, and quality of remote patient interactions
- Coordinate with the Clinical Operations Supervisor and COO on multi-site operational priorities, staffing needs, and quality improvement initiatives
- Participate in weekly leadership meetings with the COO and Clinic Manager to align on operational performance, strategic priorities, and continuous improvement
- Contribute to technology development and research initiatives, including evaluating and implementing new tools, systems, and workflows that enhance clinic operations and the patient experience
- Handle patient concerns and escalations with professionalism and a solutions-oriented approach
- Track and report on key operational metrics including no-show rates, booking utilization, and patient satisfaction
- Assist with inventory management for office and clinic supplies
- Support the implementation of new programs and workflows, including self-referral patient intake under Alberta's Preventative Health Testing program
Required Qualifications:
- Medical Office Assistant diploma or certificate from a recognized program
- Minimum 3 years of experience in a medical office or diagnostic clinic environment
- Minimum 1 year of supervisory or team-lead experience (or demonstrated readiness to step into a leadership role)
- Strong knowledge of Alberta Health billing, referral processes, and medical terminology
- Proficiency with EMR/clinic management systems and Microsoft Office (Excel, Outlook, Word)
- Excellent organizational, multitasking, and communication skills
- Current and clear Criminal Record Check (or willingness to obtain)
Preferred Qualifications:
- Experience in a diagnostic imaging or radiology clinic setting
- Familiarity with PACS, RIS, or imaging-specific scheduling platforms
- Experience with staff scheduling software (e.g., Dayforce / Ceridian)
- Experience managing remote or virtual teams across multiple locations
- Knowledge of Alberta College of Medical Diagnostic & Therapeutic Technologists (ACMDTT) or CPSA clinic standards
